Job Description

The Admin is responsible for supporting the administrative and operational activities of the health facility. The incumbent ensures proper documentation, attendance management, coordination of office activities, filing systems, communication, and administrative support in accordance with BPHS-SAFE Project and MoPH policies and procedures.

Key duties and Responsiblity:

  • Manage daily administrative activities of the health facility.
  • Maintain proper filing systems for administrative and HR documents.
  • Ensure all official documents are organized, updated, and securely maintained.
  • Prepare letters, memos, reports, and other official correspondence
  • Maintain staff attendance records and leave tracking.
  • Support the collection and submission of HR documents Najmulqra HFS.
  • Coordinate with the Nangarhar Provincial office HR department regarding staff administrative matters.
  • Ensure all staff sign attendance sheets and required documents timely
  • Monitor office supplies and request replenishment when needed.
  • Support inventory and asset management processes.
  • Ensure office equipment and furniture are properly maintained.
  • Assist in arranging meetings, trainings, and workshops
  • Prepare and submit administrative reports on time.
  • Coordinate with provincial office and relevant departments.
  • Support health facility management in operational activities.
  • Maintain proper communication with staff and visitors
  • Follow BPHS, MoPH, and SAFE project policies and procedures.
  • Maintain confidentiality of staff and organizational documents.
  • Ensure professional behavior and proper office discipline.

Job Requirements

  • Bachelor degree or diploma in Administration, Management, or related field.
  • At least 3 years of relevant administrative experience preferred.
  • Good knowledge of office administration and documentation procedures.
  • Strong filing, reporting, and communication skills.
  • Good computer skills, especially MS Office applications
  • Based at Najmulqra CHC, Nangarhar Province.
  • Fluency in Pashto and/or Dari.
  • Organizational and time management skills.
  • Communication and interpersonal skills.
  • Record keeping and reporting abilities.
