Job Summary

He is required to follow this job description and complete the tasks in accordance with the WAW rules and regulations.

Job Duties & Responsibilities (Administrations):

  • Organize, structure, and maintain a decent filing system for administration materials and documents (with necessary confidentiality where required).
  • Maintains accurate fuel records and logbooks for generators and vehicles and reports them to the Admin Officer regularly.
  • Liaise with governmental, non-governmental organizations
  • Maintain and arrange Stock with a proper recording system of usage
  • Supervise the work of the cook, cleaner, guards & Drivers and provide regular feedback to (office cleaners, guards, drivers, etc).
  • Monitors the building and equipment maintenance and take appropriate action accordingly
  • Keep control of stationery and food expenses and maintain a proper record of stock materials
  • Submission of attendance Report on a monthly basis.
  • Any other related tasks assigned by his direct supervisor.

 

Duties & Responsibilities (Logistics):

  • Assists in controlling Assets and inventory
  • Preparation and issue of RFQ, negotiations with vendors and providers
  • Issue Purchase Orders
  • Monitor, track and expedite all WAW procurement & logistics activities;
  • Manage the Procurement database components. Coordinate customizations to the database and reports module in close collaboration with the WAW Mazar-e-Sharif Regional Office and HQ team to meet the specific procurement needs of the WAW.
  • Procuring the project’s needs as per WAW procurement policy in coordination with Mazar-e-Sharif Regional Office.
  • Regular review of procurement requests in the Database and follow-up with further procurement actions, collaborating with the HQ procurement team when required
  • Track processing of purchasing requests from WAW staff to ensure timely and accurate completion; provide regular updates to requestors; and recommend customized reports from the Database to facilitate effective tracking
  • Update the Vendors database component in the Database. 
  • Conduct vendors’ evaluations and coordinate customizations with the WAW logistic team.
  • Monitor and maintain up-to-date WAW Property Inventory for all offices
  • Draft inventory reports quarterly
  • Update inventory database regularly
  • Conduct quarterly physical inventory checks for all offices
  • Locate and identify potential vendors and suppliers both domestically and internationally.
  • Conduct cost/price, quality, and past performance/timeliness review of bids received; assist other procurement staff in the evaluation of bids.
  • Work with freight forwarders to coordinate the transportation requests;
  • Perform other related duties as assigned by supervisor.

Job Requirements:

  • bachelor's degree in Business Administration or equivalent in related field is desirable.
  • At least 3 years of work experience in administration, procurement, contracts, logistics, and/or Security field, or equivalent.
  • Fluency in English, Dari and Pashto
  • Excellent verbal and written communication skills.
  • Computer literacy includes e-mail, word processing, Excel spreadsheets, and databases.
  • Teamwork-oriented and knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
