Job Descriptions:

Specific Tasks:

  • Prepare, maintain, and review purchasing and grant‐related files, reports, and price lists.
  • Assist in developing bid specifications and grant procurement requirements.
  • Develop Expressions of Interest (EOIs), support solicitation processes, and facilitate the meetings and decisions of the grant committee.
  • Review requisition orders to verify accuracy, terminology, and specifications.
  • Contact suppliers and grantees to schedule or expedite deliveries and resolve shortages or delays.
  • Ensure deliveries meet contract terms and organizational needs.
  • Maintain and apply policies and procedures in line with organizational and governmental regulations related to procurement and grants, and share relevant information with management, staff, and vendors.
  • Check shipments to ensure orders are filled correctly and goods meet specifications.
  • Compare prices, specifications, and delivery dates to determine the most advantageous bids.
  •  Maintain documentation of purchase orders and verify invoices for payment with accounting.
  •  Maintain complete documentation for procurement and grant files in accordance with compliance requirements.
  •  Assist in developing and revising procurement and grant operating procedures and policies.
  •  Work with internal and external stakeholders to ensure procurement and grant activities comply with applicable regulations and organizational procedures.
  •  Analyze quotations received, select or recommend suppliers, and schedule deliveries.
  •  Supervise preparation of orders and follow up to ensure timely shipment and delivery.
  •  Develop and maintain organized records and files for efficient operations and audits.
  •  Monitor budgets to ensure spending remains within approved limits and allowable cost categories.
  •  Receive, review, and process requisitions and related documents for the purchase of supplies, materials, and equipment.
  •  Compare costs and evaluate the quality and necessity of supplies, materials, and equipment.
  •  Communicate with vendors to stay informed about new products and market trends.
  •  Consult with department managers to identify procurement and grant support needs and specifications.
  •  Analyze purchasing and grant disbursement trends to improve practices and cost efficiency.
  •  Demonstrate strong integrity and report any suspected fraud or graft.
  •  Perform other duties as assigned.

Job Requirements:

Education:

  1. Bachelor’s degree in business administration, Procurement, Contracts Management, Project Management, or a related.

Work Experience:

  1. At least 4 years’ experience working on donor-funded programs, preferably donor-funded programs that carried out international events, grants, procurement and etc
  2. Previous experience in procurement, grants, logistic and contract management

Skills:

  1. Excellent communications both verbal and written.
  2. Highly organized and possesses great planning skills as well as being detailed oriented.
  3. Ability to manage concurrent multiple tasks.
  4. Skilled in products and services sourcing.
  5. Skilled in negotiation and procurement record maintenance.
