Job Description

he MSupply/Data Entry Assistant supports the pharmacy department by ensuring accurate and timely entry of stock data into the mSupply system, maintaining proper inventory records, and assisting with reporting, stock monitoring, and documentation. The role contributes to efficient pharmaceutical supply management and ensures compliance with organizational procedures.

Duties and Responsibilities:

  • Accurately enter and update pharmaceutical data in the mSupply system, including stock receipts, issues, adjustments, and transfers.
  • Maintain up-to-date records of medicines and medical supplies in both physical and electronic systems.
  • Verify and cross-check data with stock cards, bin cards, and delivery notes to ensure accuracy.
  • Monitor stock levels and report low stock, expiries, and discrepancies to the supervisor.
  • Assist in preparing stock reports, consumption reports, and inventory summaries on a regular basis.
  • Ensure proper documentation and filing of all pharmacy records, including invoices, waybills, and stock reports.
  • Support the pharmacy team during stock counts, physical inventory, and audits.
  • Maintain confidentiality and integrity of all data entered into the system.
  • Coordinate with warehouse and pharmacy staff to ensure timely data entry of all transactions.
  • Identify and report any inconsistencies or errors in the system promptly.
  • Assist in ensuring compliance with organizational policies and donor requirements related to pharmacy and inventory management.
  • Perform any other related tasks assigned by the supervisor.

Job Requirements

  • Bachelor’s degree in Pharmacy, Health Sciences, Computer Science, Business Administration, or a related field.
  • At least 2–3 years of relevant experience in data entry, pharmacy, or supply chain/warehouse management.
  • Familiarity with mSupply system or other inventory management software is preferred.
  • Good knowledge of pharmaceutical products and stock management practices.
  • Strong data entry skills with high attention to accuracy and detail.
  • Proficiency in MS Office (Excel, Word).
  • Ability to maintain organized records and documentation.
  • Good communication and coordination skills.
  • Ability to work under pressure and meet deadlines.
  • Understanding of basic reporting and documentation procedures.
  • Knowledge of English and local languages (Dari/Pashto) is required.
  • Strong sense of integrity, confidentiality, and accountability.
