Job Description:

The Bid Coordinator is responsible for managing the entire bid process, from initial request to final submission, ensuring that all proposals are accurate, complete, and compliant with client requirements. This role involves close collaboration with internal teams, external partners, and stakeholders, to gather necessary inputs, develop competitive proposals, and maintain a high standard of bid documentation.

Duties and Responsibilities:

  • Oversee the entire bid process, from initial request to final submission
  • Manage the preparation and submission of bids, proposals, and tender documents
  • Ensure all bid documentation is complete, accurate, and meets the requirements of the client or prospect
  • Work closely with internal teams, including sales, finance, legal, and technical departments, to gather necessary information and inputs for bids
  • Coordinate with external partners and suppliers to obtain necessary documentation and pricing information
  • Ensure all bids comply with the client’s specifications and legal requirements
  • Maintain accurate records of all bid documents, communications, and submissions
  • Develop and maintain a library of standard bid documents and templates
  • Conduct research on potential clients, market conditions, and competitors to support bid strategies
  • Analyze the requirements of each bid and identify key points that need to be addressed
  • Review and proofread all bid documents for accuracy, completeness, and clarity
  • Ensure that all bids, are professionally presented and adhere to company standards
  • Communicate bid progress and update to relevant stakeholders
  • Prepare regular reports on bid activities, outcomes, and performance metrics
  • Continuously seek ways to improve the bid process, including the development of new tools and methodologies
  • Implement best practices in bid management to enhance efficiency and effectiveness
  • Perform any other activities as assigned by the direct supervisor.

Required Qualifications:

  • Education: A Bachelor's degree in Business, Marketing, Communications, or a related field is required and higher will be preferred.
  • Experience: 3 years of working experience in bid coordination, proposal management, or a similar position is preferred. (Required)
  • Languages: Proficiency in both national languages and English language is an advantage
  • Strong organizational and project management skills with the ability to manage multiple deadlines
  • Excellent written and verbal communication skill
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software
  • Attention to detail and the ability to work under pressure
  • Knowledge of the industry and the company’s products/services is a plus
  • Strong analytical and research skills
  • Ability to work independently and as part of a team
  • Problem-solving and critical thinking abilities
  • High level of initiative and a proactive approach to work
