Job Descriptions:

A. Procurement and Supply Chain Management

  1. Plan, coordinate, and execute procurement processes in accordance with WASSA’s procurement policy and donor requirements.
  2. Prepare and review purchase requests, purchase orders, quotations, and tender documents.
  3. Ensure cost-effectiveness, transparency, and accountability in all procurement activities.
  4. Identify and maintain relationships with reliable suppliers and vendors, ensuring timely delivery of goods and services.
  5. Maintain accurate procurement records, including supplier databases, contracts, and invoices.

B. Logistics and Transportation

  1. Oversee transportation and delivery of goods to project sites, ensuring safe and timely arrivals.
  2. Arrange vehicle movements, maintenance schedules, and fuel management for project activities.
  3. Coordinate with drivers and field teams to plan logistics for distributions and field visits.
  4. Ensure proper documentation for all logistics and transport activities, including waybills, vehicle logs, and distribution reports.

C. Warehousing and Asset Management

  1. Manage and maintain warehouse operations, ensuring proper receipt, storage, and dispatch of goods.
  2. Conduct regular inventory checks and ensure accurate tracking of supplies and project assets.
  3. Implement and enforce asset management systems to safeguard project materials and equipment.
  4. Monitor the condition of stored goods and manage disposal processes as needed.

D. Reporting and Documentation

  1. Prepare and submit regular logistics and procurement reports to WASSA Operation Manager and to the Project Coordinator.
  2. Ensure all logistics and procurement documents are complete, accurate, and archived according to WASSA policies.
  3. Support audits by providing all required logistics and procurement documentation.

E. Coordination and Compliance

  1. Coordinate with the program team to ensure timely delivery of goods and services for project activities.
  2. Ensure full compliance with WASSA policies, donor guidelines, and local laws in all logistics operations.
  3. Support cross-departmental coordination to align procurement and logistics plans with project timelines.

F. Cross-Cutting Themes

  1. Ensure gender sensitivity and inclusivity in procurement and distribution processes.
  2. Promote accountability and transparency in all logistics activities to prevent fraud or misuse of resources.
  3. Adhere to PSEA (Protection from Sexual Exploitation and Abuse) principles and WASSA’s Code of Conduct.

Job Requirements:

  1. Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
  2. Minimum of 3 years of experience in logistics, procurement, or supply chain management, preferably in humanitarian or development projects.
  3. Strong understanding of procurement principles, warehousing systems, and transportation logistics.
  4. Proficiency in using logistics management tools and software (e.g., Excel, ERP systems).
  5. Ability to work independently, prioritize tasks, and meet deadlines.
  6. Strong analytical, organizational, and communication skills.
  7. Fluency in Dari and/or Pashto; proficiency in English.
