Job Summary:
Under the direct supervision of, the incumbent of the position is responsible for support to mission administration and performs the duties of a cashier and process payment of vouchers and pay orders. Also the incumbent is responsible photocopy of documents, maintenance of photocopy machines and also provide support to the photocopy operators of CARE field offices.
Job Responsibilities:
1. Maintaining all the petty cash and its record properly as soft and as well hard records.
2. Record all cash transactions in the ledger as soft and as well hard records.
3. Update the ledgers on daily basis.
4. Provide assistance with the invoices and summaries to administration department.
5. Release cash only on the basis of approved disbursement vouchers signed by the persons and individuals with sufficient authority levels.
6. Deface the paid vouchers immediately and put paid stamp on each paid voucher to avoid double payment for the same transactions.
7. Check cash on daily basis and make sure that physical cash match the book balance.
8. Prepare daily cash status report and provide it to the Admin Manager.
9. Participate in cash count by Accountant, submit the report to the Admin Manager fortnightly, and keep a signed copy of the cash count in file.
10. Maintaining and keeping up-to-date a master list of archived files, being able to retrieve archived files.
11. General miscellaneous finance tasks within administration department.
12. The employee is responsible to abide by the cash management policy of the mission.
13. In the absence of receptionist, give support to make sure guests inter the compound are properly recorded, escorted by authorized staff, meeting room records are maintained and correspondence of externals is properly and accurately managed.
14. Make copies of the documents as per request.
15. Binding copied documents as required.
16. Maintenance of photocopy machines in HO and field offices.
17. Technical assistant in purchase of photocopy machine parts with procurements staff.
18. Responsible to provide training facilities to photocopiers of field offices.
19. Responsible to visit CARE field offices to repair/ service their photocopy machines when required.
20. Keep record of photocopy room stationery.
21. Any other job related tasks assigned by respective supervisor.
