Job Descriptions:

Job Purpose:

The Medical Warehouse Assistant will be responsible and accountable for the management of health projects pharmaceutical supply chain management particularly MRF , including quantifications and rationalization. He/she should apply up-to-date knowledge and skills in caring for each project.

He/she should have the qualification and experience in general and pharmaceutical and health commodities management, quantification, report writing and training, and knowledge of supervision, monitoring, and evaluation.

Main Duties & Responsibilities:

Ensure proper receipt of all pharmaceuticals, medical supplies, and medical equipment in the Kabul Pharma warehouse with good documentation.

Arrange timely transfer and accompany all pharmaceuticals, medical supplies, and medical equipment to health facilities.

1-Ensure proper receipt of all pharmaceuticals, medical supplies, and medical equipment by all provincial pharma warehouse teams (warehouse officer and Pharmacy assistant).

2-Ensure pharma warehouses are clean and well-arranged according to the MDS system/ policies.

3-Provide accurate documentation and calculation of drugs in the pharma warehouse and update stock cards on a regular basis.

4-Maintain high-quality stock cards in the pharma warehouse and keep them updated on a regular basis.

5-Keeping all pharma warehouse management-related documents in proper way and updated.

6-Report all pharmaceutical-related activities to the National pharmacy manager or pharmacy officer  on a regular basis.

7-Carry out monthly pharmaceutical stock checks and ensure communication on near-expired medicine and report on time to National Pharmacy Manager or pharmacy officer

8-Prepare monthly and quarterly reports on all pharmaceuticals and medical equipment supplies management issued and consumed and stock balances to the line manager.

9-Attend training on a regular basis to upgrade skills to improve pharmaceutical warehouse arrangement/services.

10-Assist in providing accurate documents on all pharmaceuticals during audits.

11-Ensure timely reporting of near-to-expire drugs for urgent actions to prevent them from expiration.

12-Inform the line manager when the stock of goods is nearing the minimum or maximum threshold, and regularly provide the line manager with a list of the items with expiry dates within the next six months.

13-Monitor the temperature of the central pharma warehouse including freezers and refrigerators twice a day and ensure that products requiring cold chain (vaccines) are always stored at a suitable temperature (between +2°C and +8°C).

14-Maintain a temperature tracking log/Sheet updated.

15-Make sure the inventory system of the warehouse is organized and updated.

Inventory of stock on a regular basis & recording of its result in stock cards

Checking of stock cards accuracy regularly

16-Especial care of those medicines needs special storage conditions like vaccines, high price medicines & drugs with low flash points.

17-Ensure safe, clean, and proper storage of all medicine and other medical equipment within the pharma warehouse.

18-Attend coordination meetings related to pharmaceutical issues.

19-Provide first aid kits for the office and emergency kits for the vehicles traveling around.

Carry out any other task as assigned by the supervisor/manager.
