Job Descriptions:

Job Purpose

The warehouse Officer works under the guidance and supervision of the Senior logistics officer to  Facilitate the reception, handling, warehousing, dispatching, and record keeping of all stock on site which arrives on site, purchased on site, used on site and dispatched to other locations.

Main Duties & Responsibilities

  • Implementation of IMC Standard warehouse policies and procedures.
  • Overseeing receiving, warehousing and distribution operations.
  • Making sure providing of proper stock records for any goods received/released waybill, GRN (Goods Received Notes) GIO (Goods Issue Order) packing list.
  • Implementing operational international Medical Corps policies and procedures.
  • Ensuring that commodities are inspected, received, stacked, recorded, and reported.
  • Responsible for receiving non-medical supplies, medical supplies, equipment, etc. in the warehouse. Checks that the items received correspond with the waybills and generates the required paperwork to confirm receipt.
  • Making sure the availability of space and prepare stacking/storage plans prior to program supplies arriving, Providing medicines, medical supplies and medical equipment kits to HFs.
  • Making sure that, warehouse equipped with Fire safety equipment, pallets, shelves, CCTV Camera, ventilators, screens, freezer/refrigerator, thermometer to check the temperature.
  • Ensures GIKs are reported and tracked.
  • Carrying out scheduled inspection which includes cleanness, condition, looking for holes and damages to roof, windows, and doors.
  • Providing separate lockable storage for dangerous items.
  • Implementing and overseeing security operations.
  • Pest/Rodent control
  • Avoiding keeping toxicant and flammable objects inside the warehouse/stock.
  • Ensuring that expiry of goods in the warehouse is monitored and flagged with the programs before the SOF expiry date.
  • Ensuring effective and safe use of warehouse equipment.
  • Ensuring safety of staff.
  • Implementing and ensuring transparent loading / unloading procedures, correct stacking, and turnover (FIFO), (FEFO) and LIFO procedures.
  • Motivating and disciplining staff.
  • Maintaining documentation and keeping accurate records of warehouse activities.
  • Maintaining awareness and knowledge of the condition and location of fleet vehicles.
  • Assisting with deliveries where required.
  • Implements, controls, and maintains an effective communications system with other departments in an effective way.
  • Preparing internal and external audit reports when required
  • Receipt of all goods delivered by suppliers and ensures the correct quality, quantity, and early delivery to end users, and prepare report.
  • Coordinate with pharmacist for the medical commodities warehousing management.
  • Ability to cope with stressful situations and work with limited resources.

Education Required:

Bachelor’s degree in BBA/ Social science

Experience:

Minimum of three years of relevant experience in warehouse, store or pharmacy management with NGOs.

  3. Ability to work under pressure and to tight deadlines.
  4. Good communication skills.
