Job Descriptions:

1. Background

Human Medical Laboratory (HML) is a leading diagnostic and healthcare laboratory providing high-quality and reliable diagnostic services. To ensure smooth financial and human resource operations, HML seeks a HR & Finance Assistant to support the HR & Finance Manager in managing daily financial tasks, maintaining staff records, ensuring compliance with policies, and supporting administrative processes.

2. Objective of the Position

The HR & Finance Assistant is responsible for supporting both the finance and human resource departments in executing daily operational tasks. This includes assisting with financial data management, payments, reconciliations, employee documentation, recruitment, and performance monitoring while ensuring compliance with organizational and regulatory standards.

3. Key Responsibilities

A. Financial Management and Record Keeping

  • Maintain and update financial records, ledgers, and documentation in compliance with organizational policies.
  • Enter data into financial accounting software and ensure timely updates.
  • Assist in preparing invoices, processing payments, and managing petty cash.
  • Handle staff reimbursements and ensure timely settlement of expenses.
  • Support in processing payroll under the guidance of the Finance Manager.

B. Reconciliation and Financial Reporting

  • Reconcile bank statements, supplier accounts, customer accounts, and other financial records on a monthly basis.
  • Ensure all financial documents are properly maintained (hard and soft copies) for audit and internal review purposes.

C. HR Recruitment and Onboarding

  • Assist in preparing job announcements and posting vacancies.
  • Schedule and coordinate interviews, written tests, and other selection activities.
  • Prepare employment offers, contracts, and relevant HR documentation.
  • Support in onboarding and orientation of new employees.

D. Personnel Administration

  • Maintain and update employee files (both hard and soft copies).
  • Ensure timely renewal of contracts and other staff documentation.
  • Manage Digital Attendance, and tack employees’ leave.
  • Draft HR letters including confirmations, transfers, and other notices.

E. Communication and Coordination

  • Communicate with internal departments and external stakeholders regarding finance and HR matters.
  • Coordinate with departments to ensure timely submission of required documentation.
  • Follow up on outstanding invoices, payments, or HR-related tasks as required.

Job Requirements:

Required Qualifications and Experience

  • Education: Bachelor’s degree in Finance, Accounting, or Business Administration
  • Experience: Minimum of 1–2 years of relevant experience in finance, accounting, or HR roles (experience in a healthcare or laboratory setting is an asset).
  • Languages: Fluency in English and Dari/Pashto (written and spoken).

Skills and Competencies

  • Strong attention to detail, accuracy, and confidentiality.
  • Good understanding of financial and HR principles and procedures.
  • Familiarity in Microsoft Excel, Word, and accounting software (e.g., QuickBooks).
  • Excellent organizational and record-keeping abilities.
  • Strong communication and interpersonal skills.
  • Ability to work independently and collaboratively in a team environment.
  • High integrity, responsibility, and ability to manage multiple tasks under pressure.
