Job Descriptions:

  • Updating, reviewing, and improving administrative systems, policies, and procedures under line manager supervision.
  • Planning and coordinating administrative procedures and systems and devising ways to streamline processes
  • Updating forms, manuals, templates, reports formats… for Admin department under line manager supervision.
  • Cooperating with the management team to set budgets, monitor spending, and other expenses.
  • Planning, scheduling, and promoting Organization events, including meetings, conferences, interviews, orientations, and training sessions but jointly with close coordination with related departments.
  • Recruiting and training personnel and allocate responsibilities and office space with close coordination.
  • Hiring (Jointly with HR and under line manager supervision), training, and evaluating admin staff, taking corrective action when necessary.
  • Assessing staff performance and provide coaching and guidance to ensure maximum efficiency.
  • Ensure the smooth and adequate flow of information within the organization to facilitate other operations.
  • Making and updating the inventory list for the organization in both Hard and Soft formats.
  • On quarterly basis verifying the inventory list of main office and other branches of WASSA.
  • Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints jointly with other department.
  • Ensure operations adhere to policies and regulations
  • Supervising day-to-day operations of the administrative department and staff members.
  • Collecting, organizing, and storing information using computers and filing systems.
  • Provide assistance in filtering and forwarding communications to proper individuals and departments.
  • Updating and implementing HR strategies and initiatives aligned with the overall organazition strategy.
  • Planning, organizing, and controlling the activities and actions of the Admin/HR department.
  • Managing the job description preparedness and placing job announcements.
  • Doing long listing and short listing in close coordination with departments and line manager.
  • Arrangement of interview in close coordination with departments and line manager.
  • Managing the recruitment and selection process, employee onboarding, development, needs assessment and training.
  • Report to management and provide decision support through HR metrics.
  • Bridging management and employee relations by addressing demands, grievances or other issues.
  • Supervision of Cleaners, guards and drivers on daily base.
  • Nurture a positive working environment.
  • Oversee and manage a performance appraisal system that drives high performance.
  • Maintain benefits program under senior management supervision and approval.
  • Ensure legal compliance throughout human resource management.
  • Proper office management and receptionists’ supervisions
  • Ensure the premises and working environment safety and security via related team
  • Assure building maintenance and office equipment and furniture and seasonal preparedness.
  • Ensure Cleanliness of all offices through related subordinate team
  • Oversee the provision of food, and refreshments for staff and guests
  • Staff movement and transportation management
  • Travel arrangements including accommodation facilitation for guests and traveling staff

Job Requirements:

-     Proven working experience as Admin/HR Manager

-      Master or Bachelor’s degree (Economics, Management, and Social Sciences).

-     5 years of experience working in admin/HR

-     People oriented and results driven

-     Knowledge of HR systems and databases

-     Ability to architect strategy along with leadership skills

-     Excellent active listening, negotiation and presentation skills

-     In-depth knowledge of labour law and HR best practices

-     Strong familiarity with office communication tools, such as Microsoft Outlook and modern phone systems.

-     In-depth understanding of office management procedures and departmental and legal policies

-     Familiarity with financial and facilities management principles

-     Excellent organizational and multitasking abilities.
