Afghan Peace Builders Humanitarian Organization APBHO has emerged as a non-governmental, non-political, not-for-profit organization in April 2019 with its long experience as a team (Youth Council) advocating for the rights of communities especially children and women affected by conflicts, and humanitarian crisis in fragile settings.

Most of APBHO’s peace-building efforts focus on community-based conflict resolution and environmental peace-building on grass-root level.  APBHO aims to shift repressive gender norms and equip citizens with the skills to resolve any type of differences and conflicts non-violently.

Afghan Peace Builders Humanitarian Organization (APBHO) strategically implements sustainable economic empowerment/ asset creation, time-critical emergency responses with various commodities including Food and Non-Food Items, research, advocacy, and promotion of peace projects with a cross-cutting focus on youth and women.

Job Descriptions:

The Help Desk Assistant is responsible for providing support and assistance to beneficiaries during the food distribution and SCOPE registration processes. This role includes responding to inquiries, addressing concerns, and providing information about the distribution process and eligibility criteria. The Help Desk Assistant plays a vital role in ensuring that beneficiaries receive accurate and timely information, thereby enhancing the efficiency and effectiveness of the distribution activities.

Key Responsibilities:

Beneficiary Support:

  • Provide accurate and timely information to beneficiaries regarding the distribution process, eligibility criteria, and schedule.
  • Respond to beneficiary inquiries and address concerns in a courteous and respectful manner.
  • Assist beneficiaries in completing any necessary forms or documentation.
  • Direct beneficiaries to the appropriate personnel or services if additional assistance is needed.

Issue Resolution:

  • Identify and resolve issues or complaints raised by beneficiaries related to the distribution process.
  • Escalate complex issues to the Project Manager or relevant team members as needed.
  • Document and track all issues and resolutions to ensure they are addressed promptly and effectively.
  • Follow up with beneficiaries to ensure their concerns have been resolved satisfactorily.

Documentation and Reporting:

  • Maintain accurate records of beneficiary interactions, including inquiries, complaints, and resolutions.
  • Prepare and submit regular reports on help desk activities to the Project Manager.
  • Document success stories, lessons learned, and best practices to improve future distribution activities.

Information Dissemination:

  • Distribute informational materials, such as flyers and brochures, to beneficiaries.
  • Conduct informational sessions to educate beneficiaries about the distribution process and their rights and responsibilities.
  • Use various communication channels to ensure that beneficiaries receive up-to-date information.

Coordination & Collaboration

  • Work closely with the M&E Officer and other team members to plan and execute field activities.
  • Liaise with local authorities, community leaders, and other stakeholders to coordinate efforts and ensure smooth implementation.
  • Participate in CFAC meetings and provide updates on the progress of field activities.

Data Collection and Analysis:

  • Collect data on beneficiary feedback and suggestions to inform future distribution planning.
  • Analyze data to identify trends and areas for improvement in the distribution process.
  • Provide feedback to the Project Manager on potential improvements to beneficiary support services.

Accountability & Feedback Mechanisms

  • Set up and manage feedback mechanisms for beneficiaries to report issues or provide suggestions.
  • Address complaints and queries from beneficiaries in a timely and respectful manner.
  • Ensure transparency and accountability in all aspects of the field operations.

Job Requirements:

Desired Qualifications & Skills:

Education:

  • Bachelor's degree in Social Sciences, Business Administration, Information Technology or any other related field.
  • Minimum 2 years of relevant experience in humanitarian programs, particularly in food and cash-based assistance.
  • Previous experience working in challenging and remote environments is an asset.

Skills:

  • Strong communication and interpersonal skills.
  • Excellent problem-solving and conflict resolution abilities.
  • Ability to work under pressure and in challenging environments.
  • Proficiency in local languages and working knowledge of English.
  • Strong organizational and time management skills.
