General Position Summary 

The Archive Assistants will be responsible for checking, reviewing, compiling, sorting, scanning, digitizing the documents and maintaining all the documents in hard copies) of the HR, Finance, Operations and Program Archives with the coordination of Archive Officer. The Archive Assistants will report to the Archive Officer and will work closely with the Focal point of each department.

SAFEGUARDING RESPONSIBILITIES:

  • Actively learns about safeguarding and integrates it into their work, including safeguarding risks and mitigations related to their area of work
  • Practices the values of Mercy Corps including respecting the dignity and well-being of participants and fellow team members
  • Encourages openness and communication in their team; encourages team members to submit reports if they have any concerns using reporting mechanisms e.g., Integrity Hotline and other options.

Job Descriptions:

ESSENTIAL JOB FUNCTIONS:

Checking/reviewing: Check files in the filing cabinets/shelves and boxes.

  • Check and review all files of the Archives of each department.
  • Compile and separate them as required (separating the documents of the relevant files via separators).
  • Report and highlight the missing files/documents of each department, locate the missing documents and complete the files.

Sorting & Labeling: Preparing of labels for those files which currently available and haven’t been sorted correctly, will prepare them labels and sorted and store them in specific area which already renamed for such program & Project by date, name, project, years.

  • Should sort all the files and follow HQ archive guide for the labeling of boxes (given by the team).
  •  Label all the files/make a note to file for missing documents/files.
  • Provide labels for existing files and a note for non-existing files based on the list provided.
  • Scane and properly store the documents in soft (digitize) and hard copies.

Data Entry/ Reporting:

  • Make a comprehensive list of all the files checked and sorted, the format will be provided.
  • Generate weekly report for the activities done.
  • Generate a final report for the activities done.

Job Requirements:

  • Bachelor’s degree in business administration preferred.
  • 1 -2 years of relevant experience including experience in roles of a clerical/administrative nature.
  • Experience in working with an ethnically diverse team in a sensitive environment.
  • Ability to work on multiple tasks and prioritize effectively.
  • Time Management skills required.
  • Filling system management skills required.
  • Good organizational skills and attention to detail.
  • Ability to maintain confidentiality in all professional interactions and matters.
  • Ability to work independently and in a team.
  • Knowledge of using the IT equipment i.e. scanners and printers.
  • Fluency in English (Verbal and writing), Dari and Pashto, required.
  • Basic Computer Skills in office packages (Word, Excel, Power Point etc).
