Job Descriptions:

Finance:

  • Assist in the preparation of project budgets, ensuring alignment with donor requirements and organizational policies.
  • Monitor project expenditures against the approved budget and provide regular updates to the Project Manager and Finance Manager.
  • Support in budget revisions and financial planning based on project progress and changing needs.
  • Ensure timely and accurate preparation of monthly, quarterly, and annual financial reports, including balance sheets, income statements, and expense reports.
  • Ensure compliance with donor requirements, internal financial procedures, and audit requirements.
  • Maintain accurate financial records, including all receipts, invoices, and supporting documents for expenses.
  • Manage cash flow for the project, ensuring timely disbursement of funds to support project activities.
  • Process payments to vendors, service providers, and staff, ensuring compliance with organizational policies and donor guidelines.
  • Monitor payroll, per diems, and allowances for project staff, ensuring accurate documentation and timely payments.

Admin & Operation:

  • Maintain organized and secure files for all project-related documents, including contracts, correspondence, financial records, and reports.
  • Ensure proper filing of administrative and financial documentation in both digital and physical formats as per organizational guidelines.
  • Coordinate logistics for meetings, trainings, workshops, and field activities, ensuring all necessary arrangements (venue, transport, catering, materials) are in place.
  • Oversee the smooth functioning of project offices, ensuring that administrative systems (e.g., filing, communication, and office supplies) are well maintained.
  • Manage project staff travel and accommodation arrangements in coordination with the Project Manager.
  • Support the recruitment process for project staff, ensuring proper documentation of contracts and employment records.
  • Assist in maintaining updated personnel files, including contracts, leave records, and performance appraisals.
  • Coordinate onboarding and orientation for new staff members, ensuring compliance with HR policies and procedures.

Job Requirements:

  • A Bachelor’s degree in Finance, Accounting, Business Administration, or a related field is required. A Master’s degree or professional certification (e.g., CPA, ACCA) is preferred.
  • Minimum of 3-5 years of relevant experience in financial management and administration, preferably in humanitarian or development projects.
  • Proven experience working with international donors and knowledge of donor compliance and reporting requirements.
  • Familiarity with financial software and tools, such as QuickBooks, Excel, or other accounting systems.

Commitment and Dedication:

  • Knowledge, understanding and commitment to organizational policies
  • Willingness to travel to provinces when planed by the management
  • Willingness to work outside official hours

Language Proficiency:

  • Fluency in both national language (Dari & Pashto) oral and written
  • Fluency in English is a must both oral and written
