Kandahar Refugee Organization (KRO) is a national-level, non-political, non-profitable, non-governmental organization working for humanitarian and rehabilitation roots in Afghanistan. Further, KRO is an Afghan organization that is committed to the development of the local economy and building local capacity for sustainable development. Thus, we have an established specialized network in many provinces of the country in order to design, and implement related activities in the field of food security, research, capacity building, disaster management, and placement.
The Reporting Officer will play a critical role in ensuring effective documentation, reporting, and communication for various projects supported by the organization. This position requires a proactive individual who can facilitate coordination among project teams, manage data collection, and prepare comprehensive reports to meet donor requirements and enhance project outcomes.
Key Responsibilities
1-Reporting and Documentation:
· Prepare and distribute a monthly newsletter highlighting project activities and achievements.
· Compile and report the list of eligible beneficiaries entitled to receive assistance.
· Document and report on project activities, ensuring compliance with donor guidelines.
· Prepare daily, weekly, and monthly field reports documenting activities and distributions.
· Develop six-month and project completion reports for submission to the line manager.
2-Data Management:
· Maintain regular communication with field-level staff to gather relevant data.
· Assist in data analysis and interpretation to provide insights for project improvement.
· Familiarity with online platforms for reporting and the ability to enter data into KOBO from tracking sheets.
3-Coordination and Communication:
· Facilitate effective communication and coordination among project teams and stakeholders, including government agencies and partner organizations.
· Conduct regular meetings with project staff, documenting meeting minutes for future reference.
· Participate in monthly meetings to provide updates and contribute to discussions.
4-Field Engagement:
· Visit project sites periodically to conduct beneficiary interviews and gather community feedback regarding project impact.
· Prepare success stories highlighting the achievements and positive outcomes of the projects.
5-Support and Training:
· Provide guidance and support to field staff regarding data collection, reporting formats, and quality assurance.
· Participate in training workshops, meetings, and project events held in various provinces.
6-Compliance and Best Practices:
· Ensure compliance with reporting requirements and guidelines set by the donors and project management.
· Stay updated with relevant guidelines and best practices in reporting for humanitarian programs.
· Conduct periodic reviews of reporting processes and suggest improvements for efficiency and accuracy.
7-Emergency Response:
· Assist the project manager in handling emergencies and crisis situations as needed.
· Support the project manager in preparing presentations and reports for donor meetings and reviews.
8-Transparency and Accountability:
· Maintain 100% transparency and accountability in reporting and project implementation.
· Adhere to all organizational policies, including the code of conduct, Prevention of Sexual Exploitation and Abuse (PSEA), Child Protection, Anti-Fraud, and Conflict of Interest Policies.
Education: Bachelor’s degree in English literature, Social Sciences, Development Studies, or a related field.
Experience: Minimum of 4 years of experience in project reporting, monitoring, and evaluation, preferably in humanitarian or educational settings. Experience with relevant programs and initiatives is an advantage.
Skills:
Strong analytical and writing skills, with the ability to present information clearly and effectively.
Proficiency in data management tools and reporting software (e.g., Excel, KOBO).
Excellent communication and interpersonal skills.
Language Requirements:
Proficiency in English (written and spoken).
Knowledge of local languages (Dari, Pashto) is an asset.
Working Conditions:
The Reporting Officer will be based in Kandahar and may require travel to project sites within the region as necessary.
