About Handicap International:

HI has been supporting the Afghan people since 1987, starting its operations in Pakistan. Since 1996, HI has been operating across Afghanistan in order to launch victim assistance interventions, working at different levels of the society and adopting a cross-sectoral approach. While present on the ground to directly support victims of the conflict through the provision of a range of services – from physical rehabilitation, to mine risk education and inclusive livelihoods – HI has been continuously advocating to increase the rights of victims and other people with disabilities in the country. In particular, and in line with its global strategy and priorities, HI has been advocating to reduce the use of landmines and conventional weapons. Acknowledging the need to respond to the urgent emergency crises combined with longer term, chronic gaps in the provision of services, HI has steadily expanded its range of activities and services in order to support the most vulnerable people, enhancing their resilience while strengthening participation and inclusion of all individuals.

 

Job Descriptions:

Job Purpose:

The Supply Chain Intern will support the Afghanistan Country Office’s supply chain operations, with a focus on data entry, file management, and Long Term Contracting and Framework Agreements. This role provides an opportunity to gain hands-on experience in procurement, logistics, and compliance while working in a humanitarian context.

 

Key Responsibilities:

 

Procurement Support

  • Assist in preparing purchase requisitions, purchase orders, and contracts.
  • Update and close out procurement files, ensuring compliance with HI policies and donor requirements.
  • Follow up with suppliers to ensure timely delivery of goods and services.

 

Data Management and Archiving

  • Perform data entry and ensure accurate records in both physical and digital formats.
  • Support the cleaning and organization of procurement and logistics data.
  • Maintain an up-to-date archive of procurement files (physical and digital) for easy retrieval and audit readiness.
  • Verify that procurement files include all required documents before closure and ensure proper filing.
  • Receive, review and complete the Voucher Reconciliations in LINK ERP System as well as hard copies.

 

ERP System Updates

  • Update the LINK ERP system with procurement and logistics data, including purchase requests, orders, and supplier information.
  • Assist in ensuring all entries in the ERP system are accurate and up to date.

 

Logistics and Inventory Management

  • Assist in tracking shipments and coordinating delivery schedules.
  • Support the monitoring of stock levels and ensure accurate inventory records.
  • Participate in routine physical inventory checks and reconciliation.

 

Compliance and Reporting

  • Ensure all supply chain activities adhere to HI and donor regulations.
  • Support the preparation of reports on procurement, logistics, and inventory management.
  • Assist in addressing audit queries by providing necessary documentation and clarifications.

 

Capacity Building and Learning

  • Gain on-the-job training in supply chain and logistics operations.
  • Participate in training sessions on procurement processes, ERP system use, and compliance.

 

Support to Framework Agreement Processing

  • Assist in the preparation and processing of framework agreements for goods and services.
  • Ensure that all required documentation for framework agreements is complete and compliant with HI standards.
  • Support in monitoring the implementation and renewal of framework agreements.
  • Maintain accurate records and archives of framework agreement files (physical and digital).
  • Any other tasks as may be allocated to the Supply Chain Intern in furtherance of Hi Objectives.

Job Requirements:

Qualifications and Experience:

 

Education:

  • Bachelor’s degree in any field of study. Those with Data Science, business analytics foundations, Supply Chain Management, Logistics, Business Administration, or a related field (or currently pursuing a degree in these areas).

 

Skills:

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Strong organizational and multitasking abilities.
  • Familiarity with ERP systems (experience with LINK ERP system is an advantage).

 

Experience:

  • No previous experience required. However, the person(s) enlisted must be able to use basic office equipment (scanners, computer, binding machines, etc).
  • Previous internship or experience in procurement, logistics, or data management will be an added advantage but not a requirement.

 

Language:

  • Proficiency in English (written and spoken); knowledge of local languages is an asset.
