Job Descriptions:

The accountant (QuickBooks) is responsible for managing the accounting software and ensuring the accuracy and completeness of financial data. He will be working under the direct supervision of the Finance Manager and will be responsible for all financial activities as per the below-mentioned duties and responsibilities in the department.

Duties and Responsibilities:

  • Set up QuickBooks: Install QuickBooks software on the organization's computer system and configure it to meet the organization's accounting needs. This includes setting up a chart of accounts, establishing user access controls, and customizing forms.
  • Manage financial records: Maintain accurate financial records for the WADAN and ensure that all transactions are properly recorded in QuickBooks, including managing accounts payable and receivable, tracking expenses, and reconciling bank statements.
  • Record financial transactions: Enter all financial transactions into QuickBooks on a daily basis, including invoices, receipts, and payments. Ensure that all transactions are properly classified and coded.
  • Generate financial reports: Create financial reports for the WADAN, donors, and any third party as needed, including income statements, balance sheets, and cash flow statements. Provide analysis and interpretation of financial data to help inform decision-making by management.
  • Budgeting and forecasting: Monitor actual expenses against the budget and adjust forecasts as needed, timely prepare the variance report.
  • Provide financial analysis and advice: Analyze financial data to identify trends and patterns, and provide advice to management on how to improve financial performance.
  • Reporting: Prepare and submit monthly, quarterly, and annual financial reports to management, management, and external stakeholders as required.
  • Ensure data security: to ensure the security of financial data and maintain appropriate backups of financial records.
  • Proficiency in handling transactions, financial records, and reporting in both local and foreign currencies, including exchange rate adjustments and reconciliation.
  • Analyze financial data by coding on all vouchers for valid account/cost centre/donor along with supporting documents on daily bases for completeness and correctness; advise the appropriate adjustments as necessary.
  • Review procurement transactions to ensure adequate supporting documentation, accuracy of amounts, and control over payments.
  • Assisting monthly and annual tax reports and submit it to the Finance Coordinator for check and filing.
  • Reconciliation of balance sheet accounts: prepayments, Accruals, Staff Salary advances. Maintaining a balance sheet database that clearly explains balances on respective accounts.
  • Assisting Finance Coordinator/Manager in submission of monthly Financial Report to donors and Management.
  • Train and supervise the Finance team on how to use QB.
  • Conduct spot checks and trainings with the Finance and program team.
  • Support the Finance Coordinator/Manager during Internal and External Audits.
  • Check, review, comment on, and make recommendations concerning financial documents and reports submitted by the assigned projects’ staff.
  • Provide support to the senior finance officer and finance department manager as needed.

Expected Results:

  • Efficiently set up and manage the organization's financial records on QuickBooks.
  • Generate accurate dual currency records and financial reports and provide analysis for decision-making by management.
  • Ensure compliance with financial regulations and donor requirements.
  • Provide support to the finance team and assist in audits and other financial tasks as needed.

Cooperation and Involvement:

The accountant (QuickBooks) shall cooperate with all team members of WADAN and keep close coordination with all departments of the Organization regarding their financial issues and concerns. He needs to maintain a good relationship with all donors, vendors, clients, and banks. The accountant (QuickBooks) shall keep the supervisor informed of all relevant matters.

Job Requirements:

Education: A bachelor's degree in finance, accounting, economics, business administration. ACCA/a master's degree in a relevant discipline and QuickBooks citified is preferred.

Skills: Proficiency in QuickBooks, including setup of chart of accounts, data entry, reporting and analyzing reports. Training of finance team. Strong understanding of accounting principles and Strong analytical capabilities for interpreting financial data.

Experience: At least 5 years of experience of finance/accounting roles, with a focus on QuickBooks set up, utilization, financial systems management, financial reporting, and compliance within NGOs, experience in international organizations is advantageous.

Language and Compliance: Fluency in English required; In-depth knowledge of Afghan financial regulations, taxation laws, and compliance requirements pertaining to NGO operations.
