Job Descriptions:

Job Summary:
The Program Assistant and Proposal Writer plays a key role in developing compelling, high-quality proposals that align with donor requirements and organizational objectives. This role involves researching funding opportunities, gathering and formatting critical information, drafting persuasive proposals, and obtaining necessary approvals and supporting the Program Manager in coordinating daily project tasks. The ideal candidate should possess excellent writing skills, attention to detail, and the ability to meet tight deadlines while maintaining clarity and coherence in proposal documents.
Key Responsibilities:
Proposal Development & Writing
1.    Identify funding opportunities and develop well-structured, persuasive proposals tailored to donor requirements.
2.    Conduct in-depth research on funding sources, donor priorities, and project needs to craft targeted proposals.
3.    Ensure proposals are compelling, well-researched, and aligned with organizational goals and donor expectations.
4.    Draft, revise, and finalize proposals, incorporating input from relevant stakeholders.
5.    Maintain consistency in formatting, readability, and tone while adhering to proposal-writing standards.
Donor Relations & Fundraising
6.    Establish and nurture relationships with donors, funding agencies, and partners to enhance collaboration and funding prospects.
7.    Effectively communicate with donors to ensure proposals align with their priorities and requirements.
8.    Seek new funding opportunities and develop strategic approaches to secure grants and financial support.
Project Coordination & Compliance
10.    Analyze Requests for Proposals (RFPs), attend strategy meetings, and coordinate proposal development processes.
11.    Develop work plans and timelines to meet proposal submission deadlines.
12.    Gather and compile necessary project details, including objectives, deliverables, methodologies, budgets, and impact evaluations.
13.    Ensure all proposals adhere to donor guidelines, organizational policies, and compliance standards.
14.    Assist the Program Manager within the daily project tasks. 
Monitoring & Process Improvement
14.    Maintain an organized proposal database, track submissions, and document feedback for future improvements.
15.    Continuously refine proposal-writing processes by implementing best practices and lessons learned.
16.    Provide training and mentorship to team members on proposal development strategies.
17.    Stay updated on industry trends, donor priorities, and proposal-writing techniques through research and professional development opportunities.
 

Job Requirements:

1.    Proven experience in proposal writing or a related role with a strong track record of securing funding.
2.    Minimum Bachelor’s degree (Master’s in Business Administration (BBA) or related field preferred).
3.    Strong strategic planning and project management skills.
4.    Demonstrated experience in fundraising with national and UN agencies.
5.    Proficiency in data analysis, performance metrics, and impact assessment.
6.    Excellent written and verbal communication skills, with an ability to present complex information clearly.
7.    Strong research skills with the ability to synthesize large amounts of information.
8.    Highly organized, detail-oriented, and capable of handling multiple tasks in a fast-paced environment.
9.    Strong problem-solving and decision-making skills with a proactive approach.
10.    Commitment to the organization’s mission, values, and ethical standards.
11.    Ability to work both independently and collaboratively within a team.
12.    Adaptability and resilience in handling ambiguity and evolving priorities.
