Job Descriptions:

Finance

  • Coordinate financial affairs of projects within the province, ensuring strict adherence to financial policies.
  • Collaborate with regional focal points to implement and enforce financial policies consistently.
  • Oversee operational aspects related to financial activities, ensuring seamless integration with overall project operations.
  • Streamline processes for rapid communication, efficient paperwork, and timely money transfers to regional offices.
  • Ensure consistent implementation of financial policies across all province and district offices, promoting standardization and compliance.
  • Facilitate effective communication between the Kabul Main office and district offices, ensuring clarity in financial directives and operational guidelines.
  • Act as the liaison between the Finance Team and project staff.
  • Oversee the management of paperwork related to financial transactions, ensuring accuracy, completeness, and compliance with organizational policies.
  • Facilitate timely and secure money transfers to district offices, coordinating with relevant departments to ensure smooth financial transactions.

Admin & Logistic:

  • Oversee general office administration, including office setup, maintenance, and utilities management.
  • Manage office supplies inventory, ensuring timely procurement and replenishment of necessary items.
  • Coordinate logistical arrangements for meetings, workshops, and events in collaboration with the admin team.
  • Maintain organized and up-to-date records of all administrative activities.
  • Ensure compliance with organizational policies and procedures in all administrative tasks.
  • Lead the planning, coordination, and execution of logistics and supply chain activities for the provincial office.
  • Oversee the procurement process, including obtaining quotations, preparing purchase orders, and tracking deliveries.
  • Ensure compliance with procurement procedures and guidelines set by the organization.
  • Coordinate transportation and distribution of goods and supplies to project sites.
  • Manage vehicle fleet operations, including scheduling, maintenance, and driver supervision.
  • Ensure the security and proper storage of all supplies and equipment.
  • Act as the liaison between the provincial office and external vendors, service providers, and partners.

HR:

  • Setting interviews for shortlisted candidates.
  • Traveling to provinces for recruiting project staff.
  • Preparing and presenting presentation on HR policies to new employees.
  • Preparing induction & orientation check list for staff.
  • Document verifications of employees and reference check.
  • Preparing and completing personal files for project staff.
  • Preparing and updating employee’s data base for project staff.
  • Coordinating field level HR issues including time-sheets, Attendance sheets, leave requests, leave records, of project staff.
  • Organizing trainings and events for staff for building their capacities based on assessment of their capacities and areas of need.

Job Requirements:

Bachelor’s degree in, Business Administration, Statistics, Research or a related field. 

Minimum of 4 years of experience in Monitoring and Evaluation, preferably within the NGO sector or similar organizations.
