• AHDAA is a non-profit making development and charitable organization working exclusively for the welfare, development and the realization of good livelihood among the Afghan poor and vulnerable groups. AHDAA is non-government and non-political or related to such organizations. AHDAA has attracted both national and international resources to develop and rehabilitate the country.
To provide a seamless and integrated support function to the organization by managing both administrative operations and core Human Resources activities. This role is crucial for ensuring a smooth-running office environment and for fostering a positive, productive, and compliant work culture.
Key Responsibilities:
A. Administrative Management
Office Operations:
Manage the day-to-day office operations, ensuring a clean, safe, and efficient working environment.
Oversee maintenance of office equipment (printers, copiers, etc.) and manage relationships with relevant vendors.
Manage office supplies inventory and place orders as needed, within budget.
Coordinate with IT support for hardware/software issues and new employee setups.
Facility & Vendor Management:
Act as the primary point of contact for landlords, cleaners, security, and other facility service providers.
Source and negotiate with vendors for office services, supplies, and equipment.
Manage company subscriptions and service contracts.
Communication & Coordination:
Handle incoming and outgoing correspondence and phone calls in a professional manner.
Organize and schedule meetings, book travel, and manage executive calendars as required.
Provide logistical support for company events, meetings, and conferences.
B. Human Resources Management
Recruitment & Onboarding:
Manage the full recruitment cycle: post job ads, screen CVs, schedule interviews, and conduct reference checks.
Prepare employment contracts and onboarding packages.
Lead the new employee onboarding and orientation process to ensure a positive first-day experience.
HR Administration & Record Keeping:
Maintain and update employee records, both physical and digital, with strict confidentiality.
Manage the timesheet and attendance system (e.g., sick leave, vacation).
Process payroll or provide accurate data to the finance department.
Handle employment verification letters and other HR-related documentation.
Policy & Compliance:
Assist in developing, implementing, and communicating HR policies and procedures.
Ensure compliance with national labor laws and regulations.
Stay updated on changes in employment legislation.
Employee Relations & Engagement:
Serve as a first point of contact for employee queries regarding HR policies and benefits.
Assist in resolving minor workplace conflicts and escalate issues when necessary.
Support employee engagement initiatives and help foster a positive company culture.
Manage the employee offboarding process, including exit interviews.
Performance Management:
Support the performance review cycle by providing templates, tracking completion, and filing appraisal forms.
Key Qualifications & Skills:
Education:
Bachelor's degree in Human Resources, Business Administration, or a related field.
Experience:
Proven experience (2-5 years) in an administrative role with HR responsibilities, or a combined Admin/HR role.
Experience with recruitment, onboarding, and HR administration is essential.
Technical Skills:
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
Experience with HRIS (Human Resources Information Systems) or payroll software is a strong advantage.
Solid understanding of national labor laws and HR best practices.
