Human Resources & Administration – 35%
- Provide general administrative and HR support to the Support Services Team Leader.
- Maintain accurate and up-to-date personnel and administrative records in line with DRC policies.
- Facilitate communication between staff, management, clients, and external stakeholders.
- Manage daily base administration, ensuring utilities, food supplies, accommodation arrangements, and office needs are functional.
- Liaise with landlords, utility providers, contractors, and service providers to ensure services are delivered on time, within budget, and to acceptable standards.
- Ensure all administrative and legal documentation is accurate, updated, and properly filed.
- Maintain office equipment (computers, printers, photocopiers, telephones) and ensure proper usage.
- Support training and capacity building conducting by the Area office level.
Logistics & Fleet Management – 35%
- Provide logistical support to program staff and field bases.
- Support fleet management activities, including vehicle record tracking, maintenance follow-up, and documentation.
- Ensure logistics procedures are followed for procurement, storage, transportation, and asset management.
- Review, implement, and maintain appropriate inventory management systems at area level.
- Support Logistic office to ensure accurate asset registers and inventories of all DRC equipment are maintained and regularly updated.
- Manage office supplies and ensure adequate stock levels and appropriate usage.
- Support Logistic Officer to ensure proper filing and documentation of all logistics transactions in line with DRC and donor requirements.
Finance Support – 15%
- Provide basic finance support in coordination with the Finance department.
- Assist in maintaining a clear and auditable paper trail for all financial transactions.
- Based on need support the finance department for documentation and filing.
Procurement Support – 15%
- Support the Procurement department in conducting multiple procurements within required deadlines.
- Track procurement requests and follow up with suppliers and service providers as required.
- Ensure compliance with donor and DRC procurement regulations.
- Ensure timely support provided to the DRC programs at area level
- Ensure that all resources are properly utilized and are in line with the donor and DRC required standards.
- Ensure that all program goods and services are procured in timely manner.
- Ensure timely support is provided to the programs including procurement, transportation, accounting and reporting.
Experience and technical competencies: (include years of experience)
- Substantial 2 years of work experience in the management of support services within an international and national non-governmental organization working in the areas of emergency, camp management and the development sector, particularly with displaced communities / refugees, can replace the qualification in education.
- Strong communication skills, both verbal and written.
- Experience working in multi-cultural work settings.
- Ability to establish and maintain good working relationships in a multi-ethnic.
Education/ Qualification (include certificates, licenses etc.)
- University degree in economics, Business Administration, or other degree deemed similar
Languages: (indicate fluency level)
- Professionally understand (read and write) Pashto and Dari.
- Good understand of English (Communication and writing skills)
