Job Description

Generic Responsibilities:

  • Ensure adherence with NRC policies, tools, handbooks and guidelines.
  • Implement delegated support function portfolio according to plan of action.
  • Prepare and develop status reports as required by management.

  • Ensure proper filing of documents.

  • Promote and share ideas for improvement of the support function.

Specific Responsibilities:

  • Assist in reviewing of accuracy job descriptions are in place for all staff in Kabul CRC.

  • To ensure the CVs are received and put in a folder properly and handed over to the relevant section head for short listing and further process.

  • To act as an administrator on the written tests of applicants and to participate in the interviews.

  • Proper record keeping of recruitment files.

  • Maintaining the training and leave records of each employee as per NRC format.

  • To maintain and ensure HR Databases are updated and information related to staff are collected properly on time.

  • To maintain and update employee personal files regularly and ensure personal file’s requirements are met properly.

  • To ensure that recruitment files, staff attendance and timesheets checked, and filled properly on monthly basis. 

  • Support and ensure that Kabul CRC office staff has obtained Tax Identification Numbers and National Work Permits. 

  • Reporting to support office related to administration and HR activities and when required. 

  • Carries out Admin-related operational/control tasks including correspondence to Government and other agencies as required.

  • Proper accommodation arrangements for staff.

  • Timely supervision of Kabul CRC Office Rooms in Country Office and CRCs premises and make sure Kabul CRCs premises are provided with required goods and facilities to staff. 

  • Requesting office supplies and office stationaries to Kabul CRCs staff when required. 

  • Making sure, that premise rent payment, electricity bills, municipality clearance and etc are processed on timely manner.

  • Ensure timely provision of office space, desk and accommodation for incoming staff.

  • Ensure that recruitment and personal files of Kabul CRC staff are scanned and original recruitment and personal files are shared with Kabul Country office on time. 

  • Ensure all HR trackers (HRMIS, Training tracker, leave tracker, contact list...) For Kabul CRC office is up to date.

  • Ensure that Kabul CRC regular and CBW staff payroll and final payments are processed on time. 

  • Finalizing lunch menu and monthly price for lunch in consultation with all staff and ensure that all staff have paid their monthly payments.

  • Any other activity assigned by the supervisor.

Job Requirements

Generic Professional Competencies:

  • Bachelor’s Degree in BBA, Administration or Management.

  • At least 3 years’ previous work experience in HR and Admin with humanitarian INGOs/NGO.

  • Participated/Received at least 3 training courses related to Human Resources.

  • Completion of Basic English Language Course.

  • Excellent knowledge in Microsoft office, especially Excel.

  • Sound Knowledge of context/Area.

  • Excellent understanding of HR issues.

  • Fluency in written and spoken English.

  • Ability to work additional hours when required.

  • Ability to commence work immediately.

  • Flexible, initiative, accountable, goal oriented and visionary.
  • Knowledge of cash-based interventions and market-based programs.
