Job Description

1. Position Summary

The Cashier & Finance Assistant is responsible for managing the company's daily cash transactions, maintaining accurate financial records, supporting banking activities, organizing financial documents, and assisting the Finance Manager/CFO with accounting and financial operations.

The position is responsible for ensuring that all cash and financial transactions are properly authorized, accurately recorded, adequately supported by documentation, and handled in accordance with company policies, internal controls, and applicable laws and regulations.

 

 

 

2. Key Responsibilities

A. Cashier Responsibilities

·       Safeguard and manage all company cash entrusted to the position.

·       Receive cash payments and issue official receipts.

·       Make authorized cash payments based on approved documents and company procedures.

·       Maintain and update the daily Cash Book.

·       Record all cash receipts and payments accurately and on a timely basis.

·       Conduct daily physical cash counts and reconcile cash balances with accounting records.

·       Prepare and submit the Daily Cash Report to the Finance Manager/CFO.

·       Immediately report any cash shortage, excess, discrepancy, or irregularity to the Finance Manager/CFO.

·       Ensure that cash is kept securely and that all cash-handling procedures are followed.

·       Maintain proper supporting documentation for every cash transaction.

 

B. Finance Assistant Responsibilities

·       Record and organize daily financial transactions and supporting documents.

·       Assist with maintaining accounting records and financial files.

·       Assist in monitoring Accounts Receivable (AR) and Accounts Payable (AP).

·       Record and organize sales, purchases, expenses, and payment documents.

·       Assist in preparing financial documents required for tax and banking purposes.

·       Assist the Finance Manager/CFO in preparing monthly and annual financial reports.

·       Support the preparation and monitoring of the company's annual budget.

·       Verify financial documents for completeness, accuracy, and proper authorization.

·       Assist with accounting entries and reconciliations.

·       Follow up on outstanding receivables and payables as instructed by the Finance Manager/CFO.

 

C. Banking Responsibilities

·       Assist with depositing and withdrawing company funds through authorized bank accounts.

·       Prepare and organize bank deposit slips and other banking documents.

·       Assist in preparing monthly bank reconciliations.

·       Follow up on bank transfers, payments, and other banking transactions.

·       Maintain proper records of bank transactions.

·       Ensure that all banking documents are properly filed and available for review.

 

D. Payroll and Payment Support

·       Assist the Finance Manager/CFO in the monthly payroll preparation process.

·       Prepare supporting documents related to salaries, allowances, overtime, and other employee payments.

·       Assist with the calculation and documentation of applicable deductions and statutory payments.

·       Prepare payment documents for suppliers, contractors, service providers, and other approved creditors.

·       Ensure that payments are processed only after the required approvals have been obtained.

·       Maintain proper records of all salary and supplier payments.

 

E. Financial Documentation and Filing

·       Maintain organized and complete financial records.

·       File and archive receipts, payment vouchers, invoices, contracts, bank documents, and other financial records.

·       Ensure that financial documents can be easily retrieved when required.

·       Maintain confidentiality of financial and business information.

·       Ensure that all financial documents are properly numbered, authorized, and supported.

·       Assist in preparing financial documents for internal and external audits.

 

F. Inventory and Asset Control Support

·       Assist the Finance Department in periodic physical inventory counts.

·       Participate in the verification of raw materials, finished goods, and other company inventory when requested.

·       Assist in maintaining records of company assets.

·       Compare physical inventory and asset records with accounting records when required.

·       Report any discrepancies, shortages, damages, or irregularities to the Finance Manager/CFO.

 

G. Reporting Responsibilities

The Cashier & Finance Assistant shall prepare or assist in preparing the following reports:

·       Daily Cash Report

·       Cash Receipts and Payments Report

·       Bank Transaction Report

·       Accounts Receivable Report

·       Accounts Payable Report

·       Expense Report

·       Supplier Payment Report

·       Payroll Support Report

·       Financial Document Register

·       Monthly Financial Activity Report

·       Other financial reports as assigned by the Finance Manager/CFO

 

3. Internal Control Responsibilities

·       Ensure that no payment is made without proper authorization and supporting documentation.

·       Follow the company's segregation-of-duties procedures.

·       Maintain accurate and complete cash records.

·       Ensure that cash balances are reconciled regularly.

·       Report suspicious, unauthorized, or unusual transactions immediately.

·       Protect company funds, financial records, and confidential information.

·       Support the implementation and improvement of internal financial controls.

 

4. Authority

The Cashier & Finance Assistant is authorized to:

·       Receive and make cash payments only in accordance with approved company procedures.

·       Maintain and update cash and financial records.

·       Prepare financial and banking documents for review and approval.

·       Request clarification or correction of incomplete or inaccurate financial documents.

·       Report financial discrepancies, irregularities, or control weaknesses to the Finance Manager/CFO.

·       Recommend improvements to cash-handling and financial documentation procedures.

Note: The Cashier & Finance Assistant does not have authority to approve personal expenses, company payments, purchases, loans, discounts, or other financial commitments unless specifically authorized in writing by management.

 

5. Key Performance Indicators (KPIs)

Performance shall be evaluated based on the following indicators:

·       Cash accuracy: 100% reconciliation between physical cash and recorded balance.

·       Timely completion of daily cash records.

·       Accuracy of financial data entry.

·       Accuracy and timeliness of bank reconciliations.

·       Timely submission of required financial reports.

·       Completeness and proper filing of financial documents.

·       Reduction of accounting and data-entry errors.

·       Compliance with internal financial controls.

·       Proper safeguarding of cash and company financial information.

·       Timely follow-up of receivables and payables.

·       Compliance with company financial policies and procedures.

Job Requirements

6. Required Qualifications

Education

  • Bachelor's degree in Accounting, Finance, Economics, Business Administration, or a related field.
  • Candidates with a relevant diploma and substantial practical experience may also be considered.

Professional Experience

  • Minimum 1 years of relevant experience in cashiering, accounting, finance, or a related position.
  • Previous experience in a manufacturing, printing, packaging, trading, or industrial company is preferred.
  • Experience with cash management and financial documentation is highly desirable.

9. Working Conditions

  • Office-based position with regular interaction with the Finance, Administration, Procurement, Sales, Production, and Management teams.
  • May require additional working hours during month-end closing, audits, payroll processing, or periods of high business activity.
  • The position involves direct responsibility for handling and safeguarding company cash and financial documents.

The Cashier & Finance Assistant shall:

  • Maintain strict confidentiality of all company financial and business information.
  • Protect company cash, assets, and financial records.
  • Perform all duties honestly, transparently, and professionally.
  • Comply with company policies, financial procedures, and applicable laws and regulations.
  • Avoid conflicts of interest and immediately disclose any potential conflict to management.
  • Never misuse, borrow, transfer, or use company funds for personal purposes.
  • Cooperate fully with internal and external auditors.
  • Provide accurate information and documentation during audits and financial reviews.
  • Report suspected fraud, financial misconduct, unauthorized transactions, or serious control weaknesses immediately to management.
  • Support the company's commitment to financial transparency, accountability, and proper internal control.
