Job Descriptions:

JOB PURPOSE:

To work closely with the HR Team in order to provide administrative and general HR Support to both the HR Team and the WVA employees of the HR Function.

MAIN DUTIES AND RESPONSIBILITIES:

  • Advertising new vacancies through the designated job placement website and local sources.
  • Assist with the recruitment process with the administrative processes.
  • Receive and arrange CV/Applications
  • Arrangement and inviting the candidate for a written test and interview by calling over the phone.
  • Support the candidates with pre-employment background checks (Police background check, security clearance and medical check-up).

Administration and Payroll System Support:

  • Track and record staff leave, overtime and FHID in payroll system
  • Support staff timesheet generation via payroll system.
  • Check and complete the new hired staff personnel files based on the checklist and scanning on timely basis.
  • Track and record the time-sheets through the payroll system and outside the system with the employees. Follow up proper timesheet approvals and ensure all employees sign their timesheets in the required time
  • Provide support facilitate and track all that all zonal offices project staff are informed for their end of contract and contract extension timely basis.

Staff Separation and Exit Process:

  • Support and facilitate staff separation and exit process as follows:
  • Ensure that the approved resignation of staff is received and notices letters are signed by staff on time.
  • Exit Interview is scheduled and carried out with the separating staff on time before the last day of service.
  • Ensure that the separation clearance form, and timesheet are completed and ready for final payment process.

Tracking Performance Appraisals:

  • Follow up, track, report and record all performance appraisals in the National and Zonal Offices in Coordination with the P&C Officer in the National Office,
  • Remind the Zonal Offices personnel on the performance agreements, probationary periods and performance reviews on the specified times.
  • Carry out any other duties as designated by the supervisor.

Job Requirements:

Knowledge and experience:

  • 1-2 years’ experience in an administrative support role to P&C
  • Good computer skills, including experience in Word and Excel.
  • Good oral and written communication skills in both English and Dari are required.
  • Maintain confidentiality of information, written or spoken, with regards to all employee Matters
  • Ability to maintain high accuracy and work quality standards.
  • Good logistical and organizational skills.
  • Good interpersonal skills.
  • Ability to plan own work and use time effectively.
  • Positive and constructive attitude.
  • Detail orientated
  • Willingness to learn more about HR.
