Job Descriptions:

Position Overview:

The Supply Chain Provincial Officer will be responsible for overseeing all supply chain activities within a designated province. This includes procurement, logistics, inventory management, and coordination with local partners to ensure efficient and timely delivery of goods and services in accordance with project needs and organizational objectives.

Key Responsibilities:

  1. Procurement Management:

    • Oversee local procurement activities, ensuring compliance with procurement policies and guidelines.
    • Establish and maintain relationships with local suppliers to ensure timely and cost-effective procurement of goods and services.
    • Coordinate with the central procurement team for the timely dispatch and delivery of supplies.
  2. Logistics and Distribution:

    • Plan and coordinate the transportation and distribution of goods and materials to project sites, ensuring timely delivery.
    • Ensure the safe handling, storage, and delivery of goods in compliance with safety and security guidelines.
    • Manage local warehousing operations, including inventory tracking, storage, and stock replenishment.
  3. Inventory Management:

    • Monitor and maintain accurate inventory records, ensuring supplies are available as needed.
    • Conduct regular stock checks and audits to prevent discrepancies or shortages.
    • Ensure proper storage of supplies and materials in accordance with their nature (e.g., perishable goods, sensitive materials).
  4. Collaboration and Stakeholder Management:

    • Act as a liaison between provincial offices and the central supply chain team.
    • Work with local authorities, vendors, and partners to facilitate smooth supply chain operations.
    • Ensure coordination with relevant departments, including finance and program teams, to ensure effective delivery and use of supplies.
  5. Compliance and Reporting:

    • Ensure all supply chain activities comply with relevant regulations, organizational policies, and local laws.
    • Prepare and submit regular reports on supply chain performance, challenges, and recommendations for improvements.
    • Monitor and report any discrepancies or issues related to supply chain processes, including delays or inventory shortages.
  6. Risk Management:

    • Identify potential risks in the supply chain and develop strategies to mitigate them.
    • Address challenges related to transportation, supply shortages, or logistical issues proactively.
  7. Capacity Building:

    • Train and support local staff and partners on supply chain best practices.
    • Participate in continuous improvement initiatives to enhance supply chain operations at the provincial level.

  • Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or a related field.
