ActionAid-Afghanistan committed itself a long-term work with poor and excluded sections of the society through the Human Rights Based Development Approach, WASH, and Livelihood Programs in multiple provinces of Afghanistan.

Job Descriptions:

To provide high-level administrative and organizational support to the Country Director (50%) and the Senior Management Team (SMT) (50%), ensuring smooth day-to-day operations, efficient work management, and effective communication across the organization.

Job Responsibilities 01: Administrative Support:

  • Manage the Country Director’s calendar, including scheduling and coordinating meetings, appointments, and travel arrangements.
  • Organize and maintain files, documents, and records, ensuring confidentiality and easy retrieval.
  • Prepare and edit correspondence, reports, presentations, and other documents as required.

Job Responsibilities 02: Meeting Coordination:

  •  Arrange and coordinate internal and external meetings, including venue booking, agenda preparation, and distribution of materials.
  • Attend meetings, take minutes, and follow up on action items to ensure timely completion.
  • Assist in the planning events, or initiatives as directed by the Country Director.
  • Conduct and compile data to support decision-making and reporting

Job Responsibilities 03: Communication Management:

  •  Act as the primary point of contact between the Country Director and internal/external stakeholders.
  • Screen and prioritize emails, phone calls, and other communications, responding or redirecting as appropriate.

Job Responsibilities 04: Travel and Logistics:

  • Organize travel arrangements, including flights, accommodation, and transportation, ensuring cost-effectiveness and efficiency.
  • Prepare travel itineraries and ensure the Country Director is well-prepared for all engagements

Job Responsibilities 05: Office Management:

  • Ensure the Country Director’s office is well-organized and equipped with necessary supplies.
  • Liaise with other departments to facilitate smooth operations and communication.
  • Provide executive support to SMT on need basis

Job Requirements:

  • Education & Training:

  • Bachelor’s degree in business administration, Management, or a related field.
  • Minimum of 2 years of experience in an executive support or administrative role.

Technical Skills & Experience

Essential:

Exceptional organizational and time-management skills. Strong written and verbal communication skills. Strong problem-solving skills and attention to detail. Ability to work independently and under pressure in a fast-paced environment. Timely and accurate scheduling of meetings and appointments. Efficient management of documents and correspondence. Positive feedback from stakeholders regarding communication and coordination. Successful completion of special projects and tasks as assigned
