NEI Food Testing Laboratory (NFTL) was founded by Nutrition and Education International (NEI) with a team of experienced professionals in the field of Food Science & Technology, Food Processing, Food Safety & Hygiene, Microbiology, Quality Control, and Quality Assurance.

Job Descriptions:

1. Position Summary:

The Finance and Admin Officer will be responsible for managing all aspects of NEI's financial and administrative operations. This includes financial reporting, budgeting, compliance, record-keeping, processing financial documents, and performing administrative duties. The role will involve processing Special Budget Requests (SBRs), maintaining financial documents like vouchers, ledgers, and others, managing QuickBooks entries, producing financial reports, and ensuring the smooth running of administrative functions.

Job Requirements:

 

Finance Responsibilities:

  • Financial Management:
    • Oversee all daily financial transactions and ensure they are accurately recorded.
    • Utilize QuickBooks for data entry, accounts payable/receivable, reconciliation, and financial reporting.
    • Process and manage payroll and ensure compliance with tax regulations.
    • Maintain up-to-date financial records in line with organizational policies and procedures.
  • Processing of Statement of Budget Requests (SBRs):
    • Review and process SBRs from different departments, ensuring alignment with the approved budget and organizational priorities.
    • Track and ensure that all budget requests are justified, well-documented, and submitted on time.
    • Coordinate with relevant departments to ensure proper approval and documentation for budget requests.
  • Use of Financial Documents:
    • Ensure all financial documents (including ledgers, vouchers, invoices, receipts, and contracts) are processed and maintained in compliance with NEI’s financial policies.
    • Ensure that all vouchers are reviewed, signed, and accurately entered into QuickBooks.
    • Maintain a systematic filing system for financial documents for easy access and reference.
    • Ensure proper handling, archiving, and security of NEI’s financial documents to prevent loss or unauthorized access.
  • Financial Reporting:
    • Prepare monthly, quarterly, and annual financial reports for management Ensure that reports are accurate, timely, and comply with applicable financial regulations and internal policies.
    • Assist in preparing reports for auditors and regulatory agencies.
  • Budgeting and Forecasting:
    • Collaborate with relevant departments to prepare the annual budget and quarterly forecasts.
    • Monitor actual performance against the budget and provide regular analysis to management.
    • Make recommendations for financial improvements based on budget variance analysis.
  • Compliance & Audit:
    • Ensure compliance with all financial regulations, including tax laws and accounting standards.
    • Assist in preparing for internal and external audits and ensure that financial records are ready for review.
    • Maintain the organization's tax filings, ensuring they are completed accurately and on time.
  • Cash Flow Management:
    • Oversee the organization’s cash flow, ensuring sufficient funds are available to meet operational needs.
    • Assist in managing bank accounts and processing payments and receipts efficiently.

Admin Responsibilities:

  • General Administration:
    • Provide administrative support to NEI management and staff, including scheduling meetings, handling correspondence, and maintaining office supplies.
    • Manage and maintain office records, ensuring they are organized, accurate, and up-to-date.
    • Support the procurement process, including coordinating purchases, obtaining quotes, and maintaining inventory of office supplies and equipment.
  • Document Management:
    • Oversee the organization and management of official documents and correspondence.
    • Ensure proper filing and archiving of documents, ensuring compliance with NEI's document retention policies.
    • Prepare and maintain administrative reports as required by management.
  • Facility Management:
    • Monitor office space and resources to ensure a safe and efficient working environment.
    • Coordinate office maintenance, and repairs, and ensure compliance with health and safety regulations.
  • Travel and Logistics:
    • Assist in organizing staff travel, including booking flights, accommodation, and transportation.
    • Manage travel reimbursements and ensure that proper documentation is maintained.
  • HR Support:
    • Assist with HR functions such as maintaining employee records, tracking leave balances, and supporting the recruitment process.
    • Assist in onboarding new employees, including preparation of documents, induction sessions, and office setup.
  • Support and Advice:
    • Provide general administrative support to senior management and other departments.
    • Support the organization’s events, meetings, and training programs as required.
