Job Descriptions:

The Site Supervisor will work under the direct supervision of the Contract Manager and Facility Manager. The position is governed by an employment contract valid until December 31, 2025, with the first three months designated as a probationary period, during which performance will be closely monitored.

 

Key Responsibilities:

 

Supervision & Personnel Management

  • Oversee TBS personnel, including watchmen shift supervisors, technical team members, cleaners, and gardeners.
  • Identify staff weaknesses and develop improvement plans accordingly.
  • Ensure that all TBS personnel are properly dressed in accordance with company guidelines at all times.
  • Assign personnel to different buildings and areas, creating efficient work schedules for each site.
  • Establish a backup system to ensure continuous operations in cases of staff absence.
  • Monitor daily activities of TBS personnel and report effectively to focal points.
  • Provide training and guidance to staff individually or in groups, addressing any identified knowledge gaps.
  • Conduct periodic performance reviews for cleaners and implement capacity-building initiatives when needed.

 

Operational Oversight & Reporting

  • Develop checklists for each area and monitor their implementation.
  • Monitor and maintain staff attendance records, ensuring adherence to work schedules and leave policies.
  • Track annual leave, sick leave, and other absences, ensuring fair usage and continuity of operations.
  • Collect monthly client feedback on cleaning services and implement improvements as required.
  • Report any long-term staff absences to the client for necessary action.
  • Identify and report suspicious behavior that may pose a security risk to the client and its personnel.
  • Maintain records of administrative supply distribution and usage, providing updates to the TBS client regional office.
  • Provide regular reports to the Contract Manager on all relevant operational activities.

 

Gardening & Facility Maintenance

  • Oversee gardening activities, ensuring all gardens, trees, and indoor plants remain fresh and well-maintained.
  • Ensure that gardening equipment is properly maintained and serviced.
  • Request new equipment, fertilizers, and plant food as needed, ensuring timely replenishment through the client’s administrative focal point.

 

Client Relations & Compliance

  • Serve as the primary point of contact for all contractual and administrative issues related to the respective Call-off Contract.
  • Ensure that all scheduled and unscheduled activities are coordinated in advance with the client's regional office and strictly followed.
  • Conduct regular meetings with the client's regional office (Operations) and security focal points to align on operational and security matters.
  • Ensure that all TBS employees comply with the Code of Conduct and site security requirements.
  • Ensure that the Health & Safety Plan and QA/QC Plan are continuously updated and implemented.
  • Maintain adequate stock levels of materials and tools at the site to ensure uninterrupted service delivery, notifying the client’s regional office when replenishment is needed.

 

Additional Responsibilities

  • Ensure fair and balanced task distribution among staff according to approved work schedules.
  • Supervise and train staff to enhance efficiency and effectiveness in service delivery.
  • Perform any additional duties required for the smooth execution of services.

Job Requirements:

  • Education: A Bachelor’s degree in a relevant field is required. A degree in business administration, management, or a related discipline is preferred.
  • Experience: A minimum of two years of experience in leadership, supervision, and administrative roles is essential. Prior experience in managing teams, coordinating tasks, and overseeing office operations will be an advantage.
  • Language Proficiency: Strong English language skills (both written and spoken) are required. Proficiency in additional languages is a plus.
  • Technical Skills:
    • Proficiency in Microsoft Word and Excel for documentation, reporting, and data management.
    • Familiarity with internet usage and email applications for effective communication and online research.
  • Interpersonal Skills:
    • Strong client relationship management skills to maintain effective communication with stakeholders and ensure high levels of service satisfaction.
    • Excellent problem-solving skills, with the ability to analyze issues, propose solutions, and make sound decisions in a timely manner.
