Context:

 

Under the overall supervision of the Programme Coordinator – Shelter/WASH (P3) and the direct supervision of the SNFI Programme Associate (Finance) – G5, the SNFI Project Assistant (Admin and Finance) – G3 will be responsible for supporting administrative and financial tasks related to the implementation of SNFI and WASH programme activities.

The Project Assistant will receive day-to-day technical and functional guidance from the Programme Associate (Finance) and will report to the Programme Coordinator for overall strategic direction and performance oversight in coordination with the programme management team.

Job Descriptions:

  1. Maintain admin and financial records and files, ensuring an updated filing system that is easily accessible.
  2. Assist in arranging travel and booking venues for Programme related activities, retreat and other events.
  3. Prepare and follow up on all administrative forms related to Shelter & Non-food items (SNFI) Programme (including Timesheets, Leave Requests, TAs, DSA documents, payroll and tax reimbursement, Road Mission Requests, Procurement Requests, and other forms).
  4. Support the Programme logistics /admin and finance staff in raising PRs, follow up and other finance or logistics related matters.
  5. Support the programme finance staff in reviewing of central and regional financial documents.
  6. Assists SNFI with random data collection and update financial tracking tool on regular basis.
  7. Assist and /or facilitate orientation to the newly hired staff.
  8. Maintain regular communication with Sub-Offices based, conveying HR and administrative matters to the program.
  9. Provide backup support to the program by processing PRFs, ISTs and ensuring they are tracked and appropriately filed with the relevant units.
  10. Assist in the Programme logistics focal point monthly PRF submission for transportation, top-up cards, and other regular sub-office costs, supporting timely delivery to logistics.
  11. Perform any other duties assigned by the programme.

Education

 

    • Bachelor’s degree in business administration, International Studies or related field (Essential) with one year of relevant experience, or 

Or

    • High school diploma with 3 years of relevant professional experience.

  • A minimum of three years of experience supporting administration and finance-related tasks, particularly with UN agencies, international or non-governmental organizations.
  • Exposure to in humanitarian or recovery context.
  • Previous experience of working in complex contexts.
  • Ability to work effectively and harmoniously in a team and in the inter-agency context with colleagues from varied cultures and professional backgrounds.

Languages
