Job Descriptions:

Job Summary:

It’s a fulltime job and the position holder would work six days/week. Admin/Finance Associate is responsible for managing and archiving financial documents related to project activities and ensure proper consumption of resources as per project budget and contract. Project admin/finance Associate will work in close coordination with OSID Administration and Finance Department.

Key Responsibilities:

  • Admin /finance Associate will work under supervision of Operation manager
  • Checking of all expenses according to budget line and prepare the Project financial Reports.
  • Preparing Payment vouchers and complete the required supporting documents according to OSID Financial Policy.
  • Checking of every Payroll, Bills and every document to be as per rules/ regulation and Administrative and Financial policy of OSID.
  • Collecting the vouchers from province on weekly base.
  • Checking all the sites expenses reports, and to ensure all the expenses are according to the correct budget line.
  • Ensure all supporting documentation for all financial transactions are maintained in a systematic order and in a safe and secure condition under the custody of the organization.
  • Undertaking all transactions at bank (preparing transfers, receiving bank debit and credit advice, monthly financial statements, cash flow statements and bank reconciliation statement, every month or where required)
  • Preparing final reports and forecasting budgets as necessary.
  • Controlling and supervising the Financial and procurement policies
  • Checking, controlling and Monitor cash flow on Daily basis.
  • Keep and record all the financial transaction using Quick book software.
  • Ensuring accounting documents/files for financial audit and financial Spot-check.
  • Preparing fund request for field offices.
  • Preparing the semi-annual reports due to the Ministry of Economy (MoE), and to ensure the completed online report as well as sending the hard reports on due time.
  • Preparing the withholding taxation through ARDES with medium tax office (MTO) as per taxation policy of Afghanistan.
  • Will assist in Logistic and Administrative support to project whenever required.
  • Any other task assign by Operation manager

Job Requirements:

Key Responsibilities

Financial Responsibilities:

  • Assist in preparing financial reports, cash requests, and budget tracking.

  • Maintain accurate financial records and proper filing of vouchers and receipts.

  • Process payments, maintain petty cash, and ensure compliance with OSID financial policies.

  • Prepare monthly expenditure summaries and submit them to the Finance Manager.

  • Support audit processes and provide required documentation.

Administrative & HR Responsibilities:

  • Manage daily administrative tasks, including office operations, logistics, and procurement support.

  • Maintain attendance records, leave tracking, and personnel files.

  • Assist in recruitment processes (posting vacancies, scheduling interviews, document verification).

  • Coordinate travel arrangements, meeting schedules, and workshop logistics.

  • Ensure timely communication with field teams, partners, and management.

  • Support asset management and inventory tracking.
