Job Descriptions:

Job Summary:

The Procurement Officer is responsible for managing the procurement process, ensuring the acquisition of goods and services in a timely, cost-effective manner while maintaining the company's standards for quality and reliability. This role involves sourcing suppliers, negotiating contracts, managing relationships, and ensuring compliance with company policies and regulations.

Key Responsibilities:

    • Identify and evaluate potential suppliers based on price, quality, and service.
    • Develop and maintain relationships with key suppliers to ensure continuity of supply and resolve any disputes or issues.
    • Conduct market research to identify trends and new suppliers.
    • Prepare and process purchase orders and requisitions for supplies and equipment.
    • Review purchase orders for accuracy and compliance with company policies.
    • Negotiate contracts, terms, and pricing with suppliers to achieve the best possible deals.
    • Monitor and analyze trends in company spending and inventory control to make recommendations for the future.
    • Ensure compliance with legal and regulatory requirements in all procurement activities.
    • Maintain accurate records of purchases, pricing, and other important data.
    • Coordinate with the inventory team to manage stock levels and ensure timely replenishment of supplies.
    • Monitor inventory levels and forecast demand to ensure the availability of necessary materials.
    • Implement cost-saving strategies and initiatives & Monitor budget and ensure financial objectives are met.
    • Assess supplier performance and conduct regular reviews & Resolve any issues related to supplier performance and delivery.
    • Prepare reports on procurement activities, including spend analysis, savings achieved, and supplier performance.
    • Present procurement strategies and progress to senior management.
    • Identify potential risks in the supply chain and develop mitigation strategies & Ensure contingency plans are in place for critical supplies.
    • Work closely with other departments to understand their procurement needs and provide support.
    • Participate in cross-functional teams to improve procurement processes.
    • Manage contracts and agreements with suppliers, ensuring terms and conditions are met.
    • Handle contract renewals and terminations as necessary.
    • Utilize procurement software and systems to streamline the procurement process.
    • Stay updated with the latest technology trends in procurement.
    • Work on developing new suppliers to enhance the supply base.
    • Assist suppliers in improving their processes and performance.
    • Promote sustainable procurement practices and seek environmentally friendly products and services.
    • Support the company’s sustainability initiatives through responsible procurement.

Job Requirements:

  • Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
  • Minimum of 3-5 years of experience in procurement or supply chain management.
  • Strong negotiation and contract management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in procurement software and Microsoft Office Suite.
  • Strong analytical and problem-solving abilities.
  • Ability to work independently and as part of a team.
