Job Descriptions:

Job Summary:

The HR Clerk is responsible for maintaining and managing personnel files and related documentation in compliance with the AFGA HR policy. This role supports the HR department by ensuring that employee records are accurate, up-to-date, and accessible. The following are the major responsibilities.

Major Responsibilities:

  • Maintain and update employee personnel files, ensuring all documents are accurately filed and organized.
  • Handle the intake and processing of new hire documents, including contracts, identification, and background checks.
  • Ensure that the AFGA existing employees’ personnel files are updated according to the personnel file checklist.
  • Tracking the staff missing documents on a proper tracker and asking the HR team to collect the documents.
  • Ensure all the personnel files have labels such as employee name, and ID.
  • Make sure all the personnel files are placed in a proper cabinet to help the HR team in finding the files.
  • Assist in preparing and maintaining HR reports related to personnel files.
  • Input and update employee information in the HR Management Information System (HRMIS).
  • Perform regular audits of personnel files to ensure accuracy and completeness of records.
  • Maintain strict confidentiality regarding employee information and records.
  • Assist HR team members with various administrative tasks as needed, including scheduling interviews and onboarding new employees.
  • Perform any other task assigned by line manager.

Job Requirements:

  • High school diploma or equivalent; associate’s degree in human resources or related field is a plus.
  • Previous experience in an HR administrative role or similar position is preferred.
  • Excellent communication skills, both written and verbal.
  • Ability to handle sensitive information with discretion.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
