Job Descriptions:

B-Specific Responsibilities

  • To plan his/her duty on daily and weekly basis. Make plan (schedule) for the work of his/her subordinates on daily, weekly, monthly basis.
  • To supervise performance of junior service/supportive staff (Chief guards, guards, cook, cleaners, drivers etc…) on a daily basis at the various compounds of the project office (office, store, guesthouse e.g.) and advise them for the improvement of their works.
  •  To be fully responsible for the work of the service section under his/her responsibility.
  • Purchase food stuff (rice, cooking oil, beans, e.g.) on monthly/quarterly basis together with the cooks.
  • Take in to consideration the SAF financial rules and regulation when making purchases.
  • Supervise the cooking and distribution of food for staff.
  • To make sure that healthy food and tea is prepared for the staff.
  • To calculate the monthly expenses of meal for the related office at the end of the month and forward it to the administrator for approval.
  • Clear the food expenses of the staff and purchasing of the daily use material bills properly and on timely basis with cashier.
  • To clear the paid monthly utilities (electricity, gas etc.) bills.
  • To take care of accommodation arrangements for the SAF visiting guest/staff.
  • To assist the administrator in preparation of memo, letter, and the proper filling and record keeping of contracts, agreements and correspondence.
  • To report to the administrator and demand any repair or spare parts required by service staff.
  • Preparing or assisting in Monthly Payroll for Staff.
  • Following up staff Attendance record.
  • Managing staff leave/ Leave database.
  • Preparing neat filing system for Admin/HR Unit.
  • Preparing Time Sheets for Staff.   
  • Provide on the job training and suggest specific training needs of his/her subordinates according to their related work and for their developments.
  • To cooperate and assist with all units staff for the proper usage of all premises and equipments.
  • Prepare monthly activities report to his/her line manager
  • Do any other related task as assigned by the line supervisor.

 

Qualifications and Position’s Requirements:

  • Having unversity bachelor degree in any other relevant field from a credible university.
  • Excellent speaking, writing and reading of Dari, Pashto and English.
  • Ability to handle multiple tasks.
  • Proven self – initiative and problem solving abilities.
  • Ability to work independently.
