Job Descriptions:

Job Summary

The Project Assistant provides crucial administrative and operational support to a project manager and team, ensuring projects run smoothly, on time, and within budget. The Project Assistant is reportable to the Project Manager.

 

Main duties and responsibilities:

  • Provides day-to-day support to project and thematic activities implementation to enable conformity to expected results, outputs, objectives, and work plans.
  • Assists in the preparation of quarterly/annual progress reports by acquiring and assembling the necessary information from project officers using reporting templates.
  •  Assists in project/thematic activities monitoring based on related work plans.
  • Drafts routine official correspondence/documents as per project/thematic activities needs.
  • Manages the contact lists of project and thematic activities stakeholders.
  • Maintains working-level contacts with partners and stakeholders.
  • Manages the organization of events, workshops, and roundtables, including the preparation and dissemination of information, and their follow-up communications.
  • Follow up on travel arrangements and DSA payments for participants of events organized.
  • Assists in the organization of field visits and staff missions as required by the project and thematic activities.
  • Prepares all related background materials for discussions, correspondence, and briefing sessions.
  • Takes minutes of meetings• Cooperates with the Communications Department for related tasks, including related to updating projects’ websites.
  • Coordinates information flow to ensure that overall WDIO reporting and/or submission deadlines are met by project/program staff.
  • Supports the Project Coordinator in performing duties.
  • Any other task assigned by the Supervisor

Job Requirements:

 

Job Requirements:

  • Minimum of 2 years working experience in similar positions with national and international NGOs.
  • Bachelor's Degree in education, social science, or any other related field.
  • Required Languages – Excellent Pashto and Dari reading, writing, and verbal skills, good knowledge of English, reading, writing, and verbal skills.  
  • Excellent computer skills- Word, Excel, PowerPoint; plus, the ability to quickly learn various reporting systems is required.
  • Good Communication skills,
  • Ability to solve problems and resolve conflicts,
  • Good capacity development and teamwork skills, cross-cultural and gender sensitivity,
  • Respect the confidentiality of the organization,
