Job Descriptions:

Job-Purpose

The Administration and Logistics Assistant plays a crucial role in supporting both the administrative and general warehouse. In the administrative capacity, the assistant provides a wide range of support to the Administration Unit at World Vision Afghanistan Badghis Zonal Office, ensuring smooth office operations, managing procurement requests, and maintaining filing systems.

In the warehouse’s role, the Assistant supports the day-to-day operations by receiving, storing, and dispatching goods and Commodities, maintaining inventory accuracy, and ensuring a clean and safe work environment.

Major Responsibilities: 

Office Management:

  • Manage /review incoming correspondence, collect and prepare necessary information for reply/action,

  • Raise purchaserequest for office supplies and consumables ensuring office inventory is maintained and restocked.

  • Assist the other support staff focal points in the management of leave and attendance, timesheets and LDRs.

  • Prepare “Request for Payment” for the payment of utilities, rental fees, supervise office staff, including catering (cook) and janitorial (cleaning steward) staff ensuring duties are performed efficiently.

Guest Management Including Events & Meeting Scheduling

  • Arrange accommodation /reserve hotel rooms that meet the travellers’ needs, considering location, amenities, and budget.

  • Assist in organizing office meetings, events, and staff activities.

  • Prepare materials and resources required for internal meetings and presentations.

  • Provide hospitality/catering/logistical support for meetings/conferences organized by the office as well as for residents at the Guest House

Petty Cash Management:

  • Oversee and manage petty cash transactions, ensuring accurate records are maintained.

  • Handle petty cash disbursements, verify receipts, and reconcile the petty cash account regularly.

  • Liaise with the finance department for payments and ensure proper documentation of expenses.

Inventory Management:

  • Assist with regular stock checks and cycle counts to ensure inventory accuracy.

  • Report low stock levels or discrepancies in stock quantities.

  • Organize and rotate stock in compliance with warehouse procedures (FIFO, LIFO, etc.)

  • Receive, verify, and store incoming pharmaceutical products and supplies according to the pharmacy’s standards and regulatory requirements.

  • Ensure that all medications and supplies are stored in appropriate conditions, such as temperature-controlled environments when necessary.

  • Rotate stock based on expiration dates (first-in, first-out method) to minimize waste and ensure product availability.

  • Correctness in the quality, quantity, specifications, condition of the materials received from vendors.

Quality Control & Compliance:

  • Ensure that all stored products comply with safety, quality, and regulatory standards.

  • Maintain accurate records of medication batch numbers, expiration dates, and inventory movements.

  • Ensure compliance with health and safety regulations, including proper disposal of expired or damaged items.

  • Complete necessary paperwork, such as outbound and inbound forms and maintain accurate records of received goods, dispatched orders, and inventory levels.

Job Requirements:

KNOWLEDGE, SKILL AND EXPERIENCE

Required Education, training, license, registration, and/or Certification

  • Associate degree in management or administration certificate or equivalent.

  • Computer literate in MS. Office

Required Professional Experience

  • Minimum 1 years of experience.

  • Working knowledge in Administration and warehousing

Required Language(s)

  • Fluent in English both written and verbal.

  • Pashto knowledge.
