Job Summary

The Project Assistant supports the Project Manager in coordinating and monitoring project activities to ensure timely and quality implementation. The role involves liaising with stakeholders and provincial teams, conducting field visits, preparing regular reports, organizing meetings and schedules, assisting with data and financial record management, and ensuring proper documentation and cloud-based data storage. The Project Assistant also provides administrative and operational support to the project team as needed.

 

Key Responsibilities:

  • Provide regular support to the project manager.
  • Liaise with project stakeholders to ensure timely and quality implementation of activities.
  • Conduct field visits in the target provinces and prepare continuous progress and process reports.
  • Collaborate with provincial teams and provide regular assistance.
  • Organize and monitor schedules, and follow deadlines.
  • Assist in coordinating relevant training and providing user support to staff.
  • Complete necessary administrative tasks for the project.
  • Provide weekly, monthly, and quarterly reports.
  • Provide verbal and written report updates to all related project stakeholders.
  • Track project progress using appropriate project management tools and techniques.
  • Assist in collecting, compiling, and analyzing data relative to the program.
  • Coordinate and schedule project team meetings and update and support meetings with stakeholders.
  • Assist in maintaining financial records on the utilization of funds under all projects.
  • Communicate regularly with the team.
  • Perform other related duties as required.
  • Follow target and liaise with the provincial coordinators and ensure being on target.
  • Coordinate and communicate management instructions with the rest of the project team, including program manager and project teams.
  • Ensure data migration practices to the cloud, including photos, plans, policies, meeting action points with all levels, and M&E the quality and communication with the relevant team.

Job Requirements:

Qualification Requirements:

  • Bachelor's degree in Business Administration or English literature.
  • Good English Language Skills.
  • Experience in English Language Teaching.
  • Excellent oral and written communication skills in English language.
  • Strong interpersonal and communication skills, with the ability to work effectively in a team.
  • Ability to manage multiple tasks and priorities, and work under pressure.
  • Ability to work under tight deadlines and manage competing priorities.
  • Strong analytical and problem-solving skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and data management tools.
