Job Descriptions:

  • Job Purpose:

  • We are seeking a detail-oriented and organized HR Assistant to join our HR team. The HR Assistant will support the day-to-day operations of the Human Resources department including but not limited to recruitment and employment, personnel records, employee relations, job evaluation, compensation management, benefits administration, and compliance with applicable laws and regulations. The ideal candidate will have prior experience in HR or administrative roles, with a keen interest in Human Resources practices and procedures.

  • Duties and Responsibilities:

  •  Maintain employee records and HR databases.
  • Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations, etc.).
  • Assist in payroll preparation by providing relevant data (absences, bonuses, leaves, etc.).
  • Coordinate training sessions and seminars.
  • Deal with employee requests regarding human resources issues, rules, and regulations.
  • Assist in ensuring compliance with labor regulations.
  • Support other functions as assigned.
  • File and label all the HR files and documents of the HR Department.
  • To ensure that the filing system is up to date and all HR documents are well maintained.
  • Perform general duties to include but not limited to photocopying, mailing, filing, and scanning of HR documents.
  • Timesheets review every month, to ensure that staff attendance and timesheets are checked and filled properly monthly.
  • Assist in tracking the leave of employees and update the timesheets every month.
  • To maintain and update employee personal files regularly.
  • Prepare Interview packages for panel members whenever the interview is scheduled.
  • To check staff timesheets with Attendance reports and make sure both are the same.
  • Scheduling interviews as requested.
  • Always Ensure the confidentiality of HR matters.
  • Scanning of HR documents/ Files.
  • Follow up with HR daily tasks.
  • Proper record keeping of recruitment files.
  • Update the staff contact lists every month.
  • Provide orientations for new employees by explaining the HR Policies.
  • Preparing new employee personnel files.
  • Provide support to HR Colleagues in managing day-to-day HR activities.
  • Assist in Interview and recruitment procedures.
  • Perform other related duties assigned by the supervisor

Job Requirements:

Proven experience as an HR assistant, staff assistant, or relevant human resource position.

  • Maintain employee records and HR databases.
  • Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations, etc.).
  • Assist in payroll preparation by providing relevant data (absences, bonuses, leaves, etc.).
  • Coordinate training sessions and seminars.

  • Proficiency to speak and write professionally in languages like Pashto Dari, and English.
  • Proven experience as an HR assistant, staff assistant, or relevant human resources/administrative position.
  • Fast computer typing skills (MS Office, in particular).
  • Hands-on experience with an HRIS or HRMS.
  • Familiarity with ATS software and resume databases.
  • Basic knowledge of labor laws.
  • Excellent organizational skills.
  • Strong communication skills.
