General Position Summary 

The Archive Officer will be responsible for overall management (i.e. reviewing, compiling, sorting, scanning, digitizing the documents and maintaining all the documents in hard copies) of the HR, Finance, Operation and Program Archives with the coordination of the heads of the relevant departments and with the support of the Archive Assistants. Meanwhile, he will submit the final completion report to the HR manager and heads of other relevant departments. The Archive Officer will supervise the Archive Assistants and report to the HR manager and will work closely with the Focal point of each department.

  • Encourages openness and communication in their team; encourages team members to submit reports if they have any concerns using reporting mechanisms e.g., Integrity Hotline and other options.

Job Descriptions:

ESSENTIAL JOB FUNCTIONS:

  • Responsible for implementation of Archive management plan of the relevant departments.
  • Responsible for reviewing/monitoring the Personnel and Job Files, finance, Operations and program related documents and make sure the archives are up to date and all the relevant documents are properly managed and sorted both in hard and electronic copy.
  • Responsible for tracking and updating the status and progress of the Archive Assistants’ work.
  • Responsible for monitoring the Archive Assistants’ Day to day work, related to Archive.
  • Work closely with the Archive Assistants to properly review, compile and sort each department’s documents.
  • Work closely with the Archive Assistants to make sure the documents are properly scanned and placed in the relevant folders in soft and hard copies.
  • Provide daily/weekly updates to HR manager and relevant departments’ focal points on work progress.
  • Responsible for maintaining the file cabinets/boxes in proper order and label them (chronologically, geographically, Numerical, Alphanumerical.
  • Conduct periodic inspection of Archive Assistants to make sure they properly review and sort the documents of all departments they are assigned for.
  • Other duties will be assigned relevant to the Archive by the HR manager and or by the focal points of each department.

Job Requirements:

  • Bachelor’s degree in business administration.
  • 3 -5 years of relevant experience including experience in roles of a clerical/administrative nature.
  • Experience in working with an ethnically diverse team in a sensitive environment.
  • Ability to work on multiple tasks and prioritize effectively.
  • Time Management skills required.
  • Filling system management skills required.
  • Good organizational skills and attention to detail.
  • Ability to maintain confidentiality in all professional interactions and matters.
  • Ability to work independently and in a team.
  • Knowledge of using the IT equipment i.e. scanners and printers.
  • Fluency in English (Verbal and writing), Dari and Pashto, required.
  • Advance Computer Skills in office packages (Word, Excel, Power Point etc).
