Job Descriptions:

General Duties

  • Manage all administrative activities related to the maintenance section efficiently and creatively.
  • Task Management: Assign daily duties, monitor progress, and ensure tasks are completed on time.
  • Performance Evaluation: Assess and guide subordinate teams to ensure maximum efficiency and productivity.
  • Reporting: Produce regular performance reports and maintain various records, including daily activity logs, approved PRs, and monthly statistical reports.
  • Complaint Resolution: Address and resolve employee complaints and requests promptly.
  • Procurement: Raise PRs related to the maintenance section and track maintenance activities.
  • Vendor Management: Review vendor/contractor work and recommend payments upon completion.
  • Maintenance Coordination: Organize and evaluate maintenance and repair activities for Kabul and field offices, including plumbing, electrical, and other features.
  • Equipment Installation: Schedule and monitor the installation of new equipment, ensuring proper start-up and reporting findings.
  • Facility Compliance: Ensure rented premises meet all facility requirements.
  • Safety Compliance: Adhere to and enforce the IRC’s Safety Policy, attend safety meetings, and report accidents or violations.

Specific Duties:

  • Administrative Follow-Up: Ensure all administrative activities related to maintenance are conducted properly and to standard.
  • Performance Assessment: Regularly assess the performance of subordinate teams.
  • Spare Parts Management: Ensure timely replenishment of maintenance spare parts and accurate recording of quantities.
  • Maintenance Evaluation: Assist in organizing and evaluating maintenance and repair activities for office buildings.

Key Responsibilities:

  • Oversee the daily operation of facility equipment and systems.
  • Coordinate and schedule repairs and maintenance with outside contractors.
  • Enforce safety rules and procedures and oversee ongoing training of maintenance staff.
  • Inspect facilities to ensure compliance with local, state, and federal regulations.
  • Manage inventory of supplies and equipment.
  • Coordinate construction and renovation projects as needed.
  • Maintain accurate facility records and prepare reports for management.
  • Develop and manage the facilities budget.
  • Implement and manage security protocols and procedures.
  • Ensure the cleanliness and upkeep of all facilities.
  • Manage relationships with vendors and service providers.
  • Conduct regular inspections of facilities to identify and resolve issues.
  • Develop and implement preventive maintenance programs.
  • Coordinate space allocation and layout changes.
  • Respond to facility-related emergencies and issues.
  • Plan and oversee facility improvement projects.
  • Ensure efficient use of energy and resources.
  • Provide training and support to facilities staff.
  • Develop and implement policies and procedures for facilities management.
  • Monitor and evaluate the performance of facilities staff and cleaners.

Job Requirements:

  • Education: Bachelor’s degree in Facilities Management, Engineering, Electrical & Electronics, or a related field.
  • Experience: Minimum of 3-4 years of experience in facilities management or a related role.
  • Proficient in computer-based work management systems.
  • Strong knowledge of building systems, including HVAC, electrical, and plumbing.
  • Excellent organizational, multitasking, and problem-solving skills.
  • Ability to manage multiple priorities and work independently.
  • Experience managing budgets and financial planning.
  • Proficiency in facilities management software and tools.
  • Knowledge of health, safety, and environmental regulations.
  • Experience managing a team of maintenance staff and contractors.
  • Ability to develop and implement preventive maintenance programs.
  • Strong project management skills.
  • Ability to respond to facility-related emergencies.
  • Strong attention to detail.
  • Ability to develop and implement policies and procedures.
  • Experience in preparing reports and maintaining records.
  • Proficiency in MS Word, Excel, Access, PowerPoint, and internet usage.
  • Strong Communication and reporting skills specially in English languages and Local (Pashto/Dari) languages.
