Job Descriptions:

  • Receives all goods delivered to the site and ensures good are received in the correct quantity and in good condition.
  • Proper keep records of all warehouse in and out
  • Always keeping update of stock cards.
  • Provides weekly reports to the related supervisor of all logistical activities.
  • To visit and supervise project sites as required and asked by his supervisor.
  • To organize the HEWAD facilities within his unit according to the accepted guidelines and policy.
  • Keep track of purchase orders and requisitions and to follow up the procurement policies of HEWAD and donors’ regulations.
  • Prepare bid summaries and translation of bills.
  • Keeping Asset/inventory list update
  • All the well and completed organized documents should be hand over to the Finance department for voucher preparing.
  • Shall participate in all suppliers biding selection committees;
  • Induction training for newly hired staff (Admin/finance) when needed;
  • To maintain updated filling systems position.
  • To provide stationery and other necessary materials to the project team and other staff needed.
  • To keep all stationery and other office supplies in the stock properly and distribute them to the respected departments according to their request. Also keeping the record of every single item taking out from the admin stock.
  • Providing top-up cards for staff that is deserves according to their limitation and keeping the record properly.
  • Negotiating with suppliers and service providers                                                    
  • Assist as needed in preparing contract agreements for rentals, premises or any other required documentation.
  • Ensure compliance with Logistic processes, policies and the Afghan labor law
  • Purchasing top-up card on monthly bases according to the need and expenditure.
  • To undertake all other duties and responsibilities as assigned by the line supervisor
  • Taking the log book from the vehicles at the end of each month.
  • Putting the log book for the generators and project vehicles
  • Monitor consumables, stationery and cleaning materials for the office
  • Should purchase necessary items needed by each department from petty cash and liquidate the amount in the proper time.
  • Ability to cope with stressful situations and work with limited resources.
  • Any additional tasks assigned by the supervisor

Job Requirements:

Qualifications:       

Bachelor’s degree in Logistics, BA, or any other relevant field.

Experience:             

2-3 years of relevant experience in a relevant field, especially within an NGO, UN agency or similar organization. 

Others:              

  • Computer skills at operator level, especially with MS Office packages.
  • Fluency in English and Dari and/or Pashto, both written and spoken.
  • Interpersonal and communication skills
  • Ability and willingness to travel to the project sites within Afghanistan and adjust to HEWAD environment.
  • Honest, proactive, and well-mannered.
