Job Descriptions:

Position Description:

The HR Assistant is responsible for updating staff personnel files and supporting the HR Admin Officer in preparing interview-related documents. Additionally, the HR Assistant will help the team organize training materials, including stationery and name tags etc.

Responsibilities:

  • Update and maintain staff personnel files and records.
  • Ensure confidentiality and compliance with data protection regulations.
  • Assist the HR Admin Officer in preparing interview-related documents.
  • Assist the HR Admin Officer to schedule interviews and when instructed communicate with candidates regarding their application status.
  • In close coordination with the Support Team organize training sessions, including booking venues and arranging necessary materials.
  • Assist the Senior HR Office in preparing training materials, such as handouts and presentations.
  • The HR assistant should ensure an adequate stock of stationery.
  • Assist in the preparation of HR reports and documentation as needed.
  • Photocopying, scanning and binding of the documents.
  • Preparation of staff attendance sheet at the end of each month according to the staff list produced from the HR database.
  • When requires participate in the short listing, written tests and interviews process.
  • Ensure proper filing of staff leave request, unpaid leave forms and field trips requests.
  • When requires checking of staff attendance sheets.
  • To ensure the labeling of personal files are matching with the number of files in each cabinet.
  • Updating the personal file store on regular bases.
  • Perform all administrative tasks in support of the HRD team and training events.
  • The holder of this position must strictly follows the organization existing security policies, procedures and daily instructions of the safety personnel.
  • Any other tasks assign by the Supervisor

Education: Bachelor degree of Business Administration (BBA) in HR is required.

Experience: The candidate must have minimum of 4-5 years’ working experience with international NGO.
