Job Brief:

We are seeking a detail-oriented and versatile Admin/Finance Officer to join our team. In this role, you will provide essential administrative and financial support to ensure the smooth operation of our projects and contribute to the overall financial health of our Daikundi regional office. Your responsibilities will encompass a range of tasks, from managing procurement and logistics to maintaining financial records and assisting with budgeting. This is an excellent opportunity for a motivated individual with a strong administrative background and a keen interest in finance.

Responsibilities:

  • Prepare and manage administrative, financial, and procurement documents required for project implementation.
  • Support the procurement process by maintaining purchasing documentation, collecting quotations, and ensuring quality control of equipment and materials.
  • Arrange meetings, workshops, and conferences, handling logistics and coordinating personnel.
  • Maintain comprehensive records of office correspondence, files, and inventory of fixed assets.
  • Oversee the maintenance of office equipment, including copiers and power generators.
  • Monitor and update office stationery, ensuring proper distribution and stock management.
  • Ensure compliance with legal obligations, including lease agreements, maintenance contracts, and utility bill payments.
  • Maintain a safe and healthy working environment for all staff members, including sanitation and food services.
  • Manage stores and stock records, ensuring accuracy and availability of supplies.
  • Collaborate with the Finance Manager in financial operations, such as recording daily transactions, preparing financial statements, and processing invoices and taxes.
  • Conduct internal audits and participate in financial audits.
  • Liaise with external financial institutions, such as the Ministry of Finance and Municipality.
  • Maintain records of accounts payable and accounts receivable.
  • Update internal systems with financial data.
  • Assist with budget preparation and implement financial policies.
  • Regularly review financial documents, and identify and rectify any discrepancies.

Job Requirements:

Admin/Finance Officer

  • 4+ years of proven experience in an Admin/Finance Officer Position.
  • Solid knowledge of financial and accounting procedures.
  • Excellent data analysis and forecasting skills.
  • Proficiency in inventory management software and financial software like QuickBooks.
  • Advanced MS Excel skills for accurate tracking and reporting.
  • Strong analytical and numerical abilities.
  • Outstanding organizational, planning, and time management skills.
  • Excellent communication and interpersonal abilities.
  • Strong ethics with the ability to handle confidential data.
  • Reliable and trustworthy.
  • Bachelor's degree in business administration, finance, accounting, economics, logistics, or a relevant field.
  • Professional qualifications such as CFA, ACCA, or CPA are considered a plus.
