Job Descriptions:

  1. Invoice Registration and Management:

• Accurately register incoming invoices, ensuring they are recorded in the system promptly and in accordance with company protocols.

• Oversee the circulation, tracking, and recording of invoices to ensure they are processed efficiently and available for review when required.

  1. Document Preservation and Archiving:

• Manage the collation, input, and preservation of all accounting documents, ensuring they are securely stored and easily retrievable for future reference.

• Implement and maintain a systematic archiving process to support the company's document management needs.

  1. Office Supplies and Equipment Management:

• Handle the reception and issuance of office supplies, ensuring that the finance department is adequately stocked with necessary materials.

• Monitor and maintain the safety and cleanliness of the office, adhering to company standards and safety regulations.

  1. Coordination with Audit Personnel:

• Support the auditing process by ensuring all requested documentation is organized and readily available.

  1. Administrative Support:

• Perform daily sundry services for the financial department, such as handling correspondence, scheduling meetings, and other administrative tasks.

• Manage the upkeep of various files, ensuring they are current, complete, and correctly filed.

  1. Compliance and Safety Responsibilities:
  • Ensure that all document handling and storage practices comply with legal and regulatory requirements to maintain the integrity of financial records.
  • Promote and uphold office safety measures, contributing to a secure working environment.
  1. Task Execution and Reporting:
  • Execute tasks assigned by leaders with diligence and professionalism, providing regular updates on the progress of archiving and administrative activities.
  • Prepare reports on document control activities, highlighting any issues and suggesting improvements to optimize processes.

Job Requirements:

Qualifications and Experience:

• Education: A Bachelor's degree in Business Administration, Information Management, or a related field.

• Experience: A minimum of 2-3 years of experience in document control, archiving, or a similar administrative role within a corporate environment.

• Skills:

  • Proficiency in document management software and archiving systems.
  • Strong organizational skills with a keen attention to detail. • Excellent communication skills, both written and verbal. • Ability to handle confidential information with discretion. • Good problem-solving skills and the ability to work independently.

 

Language Requirements:

• Proficiency in English is essential for effective communication and documentation. • Proficiency in local languages is required for managing interactions within the local operational
