The Project Admin/Finance will be responsible for all the administrative, financial, procurement, and logistic issues.

Job Requirements:

Job Description:

  • To ensure cash management of all types including withdrawals of cash from banks, deposit of cash into banks, issuance of cheques.
  • To record daily transactions in primary books of accounts (General Journal and Project Cashbook, Bank Book and QuickBooks).
  • To ensure final check and verification of financial documents before payment of cash and or issuance of cheques.
  • To ensure all required supporting documents are available upon payment as well as the fund is available in the accounts.
  • To perform daily cash count with no documenting but weekly and monthly for document purpose.
  • To execute the cash and bank reconciliation on monthly basis and documented.
  • Ensure that all financial related information is kept confidential.
  • Preparation of monthly fund request according to need and budget and sending to VWO-Herat finance section.
  • To check and control incurred expenses in accordance with proper budget lines.
  • Ensure production, accuracy and monthly delivery of all monthly, cashbooks, bank books, journal books, cash counts…etc. to Salam Association’s main finance section.
  • Develop and maintain effective filing system for the program documents, reports, administrative and HR documents, and other materials according to office protocols for the project.
  • Perform office administration (maintenance, procurement, transportation arrangement) prepare meeting agenda, conduct meetings, write meeting minutes and keep records of all the meetings;
  • Arrange refreshments and stationery for workshops and meetings those are going to be conducted in the region and its target provinces; 
  • Maintain office inventory records and oversee the registration of all office equipment which is in the custody of staff members;
  • Make sure the asset (fixed assets and material) of the project is well recorded. 
  • Maintain inventories physical checking and updating in monthly basis.
  • Inventory management including stock control.
  • Ensure that the office has the appropriate amount of furniture, cleaning supplies and stationery to accommodate staff needs through the identification of budget codes.
  • Oversee the updating and maintenance of the Asset register for Salam Association’s office, and lead the process of asset disposals from time to time
  • Provide assistance to office management operation.
  • Any other relevant task given by the immediate supervisor.

 

Job Requirement:

Bachelor’s Degree in Finance or management, MBA preferred,

At least 2 years of professional working experience in a similar position,

  • Knowledge MS Office.
  • Excellent English, Pashto and Dari (spoken and written) skills, High-level proficiency in MS Office and Internet applications, Excellent communication and interpersonal skills.
  • Punctual and hard-working, desire to meet deadlines, Strong Accountancy skills,
  • Organize and maintain office supplies and administrative records.
  • Facilitate internal communication by managing correspondence and scheduling meetings.
  • Support logistical arrangements for events, training, or workshops.
