IT/Inventory Officer
Terms of Reference (ToR) for the position of IT/Inventory Officer for AEHDA’s Health, WASH, and Protection project in Heart Province:

Position Title: IT/Inventory Officer
Project Title: Health, WASH, and Protection Interventions
Duty Station: Herat (with occasional travel to field offices)
Duration: 12 months (extendable based on performance and funding availability)
Probation Period: 3 months
Reporting to: Logistics & Operations Manager
1. Background
AEHDA is a humanitarian organization implementing integrated Health, WASH, and Protection programs across Afghanistan. The organization relies on efficient IT systems and a reliable inventory control system to support its field operations. The IT/Inventory Officer ensures that all digital infrastructure, equipment, and inventories are maintained, tracked, and functional across project locations.
2. Purpose of the Position
The IT/Inventory Officer is responsible for maintaining all IT hardware and software, troubleshooting technical issues, supporting staff in using IT systems, and overseeing inventory records of equipment and assets. The role is essential for smooth administrative operations and program delivery.
3. Key Responsibilities
IT Responsibilities:
• Install, configure, and maintain computers, printers, routers, and other IT hardware.
• Provide technical support to staff regarding software, network, or hardware issues.
• Monitor and maintain internet connectivity and network performance.
• Ensure regular data backup and implement basic cybersecurity measures.
• Maintain records of all IT assets and perform periodic inspections.
• Train staff in basic IT skills and organizational IT protocols.
Inventory Responsibilities:
• Manage the receipt, tagging, issuance, and tracking of all equipment, assets, and supplies.
• Maintain up-to-date inventory lists and documentation, including GRNs, stock cards, and asset registers.
• Conduct regular physical inventory checks and reconcile discrepancies.
• Support procurement and logistics units in organizing storage and movement of goods.
• Ensure inventory rooms are secure, clean, and organized.
• Prepare monthly and quarterly inventory reports for submission to the Logistics/Operations Manager.
6. Reporting Line
The IT/Inventory Officer reports directly to the Logistics & Operations Manager and collaborates with administration, procurement, and program teams.
7. PSEA and Compliance
The IT/Inventory Officer must strictly comply with AEHDA’s Protection from Sexual Exploitation and Abuse (PSEA) Policy, Data Protection, and Code of Conduct. All violations or ethical concerns must be reported without delay.
8. Working Conditions
• Based in Herat Province Office , with occasional field visits.
• Full-time position, 5 working days per week (Saturday to Wednesday).
• Some off-hours support may be required during technical emergencies.
9. Interdiction Clause
Any form of fraud, asset mismanagement, data breach, or violation of AEHDA’s internal policies will result in strict disciplinary measures, including potential contract termination and legal referral.
4. Qualifications
• Bachelor’s degree in Information Technology, Computer Science, Logistics, or related field.
• At least 5years of experience in IT support and inventory/asset management.
• Strong knowledge of IT systems, networking, hardware/software troubleshooting.
• Familiarity with inventory software (e.g., Excel, Asset Tiger, or similar).
• Good command of English and local languages (Dari/Pashto).
• Attention to detail and strong organizational skills.
