Job Description

Job Summary:

The admin and Finance officer's key duties include supervising and streamlining administrative procedures, keeping the office tidy, and offering logistical support to ensure the organization runs smoothly. and also, to oversee and manage the organization's finances, including budgeting, financial reporting, and compliance, in order to assure accuracy, precision, and long-term financial viability.

Roles & Responsibilities

  1. Office Administration:
  • Keep the office environment efficient and organized.
  • To maintain efficient daily operations, manage the office's buildings, equipment, and supplies.
  1. Management of Documents:
  • Create and put into operation a document management system for the business.
  • Ensure that organizational records and documentation are filed, kept, and retrieved correctly.
  1. Logistics and Procurement:
  • The sourcing of vendors, acquiring quotations, and processing of purchase orders are all coordinated procurement processes.
  • Maintain asset tracking, inventory control, and supply distribution.
  1. Transportation and lodging:
  • Plan the trip logistics for the staff, including the reservation of flights, lodging, and transportation.
  • assist with making plans for travel insurance and visa applications.
  1. Events and Meetings:
  • Events, workshops, and meetings should be planned and coordinated both internally and externally.
  • Create the meeting's agenda, minutes, and supporting documents.
  1. Financial Administration:
  • Manage the Organization’s day-to-day financial operations, including payroll, accounts payable, and accounts receivable.
  • Keep up-to-date ledgers and financial records.
  1. Forecasting and Budgeting
  • Work together with the appropriate departments to create annual budgets and financial projections.
  • Keep track of budget performance, and notify top management of any deviations.
  1. Grants and Agreements:
  • Manage the budgeting, reporting, and compliance aspects of grants and contracts' finances.
  • Create donor-facing financial reports.
  1. Cash Flow Management:
  • Keep an eye on your financial flow and make sure you have enough money to cover your expenses.
  • Create cash flow projections.
  1. Finance and the Treasury
  • Control the bank accounts and transactions for the organization.
  • Keep track of and compare bank statements.

Job Requirements

  • Bachelor's degree in Business Administration, Finance accounting, Management, or a related field. With 3 years’ experience
  • Proven experience in administrative roles, preferably in a similar organization.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in office software and applications.
  • Attention to detail and problem-solving skills.
  • Ability to work independently and collaboratively as part of a team
