Job Descriptions:

  • Coordinate and manage accommodation facilities for SSH taff.
  •  Liaising with accommodation providers and addressing staff concerns about their accommodation.
  • Processing the accommodation invoices and making sure that payment is processed on time.
  • Update the accommodation tracker for easy reference.
  • Coordinate and assist staff in the TAR and other document processes for their accommodation booking.
  • Timely communication to the requester through email, about their accommodation booking details.
  • Follow-up with involved parties, e.g., visitors, logistics, and program/province managers of the various locations, on accommodation arrangements.
  • copy line manager and the relevant people in all official communication.
  • Maintain an accurate record of accommodation availability and occupancy.
  • Coordinate with the logistics about the accommodation provider framework agreement.
  • Attend to the administration filing system and help the team to have proper documentation—update the contents and label each folder.
  • Ensuring that all documents are scanned and archived in a good manner before being submitted to finance for payment purposes.
  • Supervise and manage kitchen facilities, ensuring cleanliness, proper stocking, and adherence to hygiene standards.
  • Collaborate with catering services for events and special workshops.
  • supervision of cooks.
  • Managing and preparing the lunch menu
  • Clearance of daily kitchen expenses for lunch with cooks
  • Management of token distribution and addressing kitchen issues and needs with the relevant staff or department.
  • initiative and creativity for the food menu.
  • Monitor and manage the inventory of kitchen supplies and cleaning materials.
  • Oversee and schedule cleaning staff to maintain a clean and organized workspace. 
  • Make sure that strict cleaning guidelines are constantly followed.
  • Do routine inspections of cleaners, and cooks for a better work environment.
  • Manage and process the monthly time sheet and the 360-degree feedback of the cleaning staff.
  • Conduct regular staff meetings with direct supervisees, and report back to the supervisor.
  • Train cleaners and team leaders on service standards.
  • Check the cleaning equipment condition.
  • Identify training needs for all cleaning staff.
  • Facilitate effective communication and engagement at the workplace.
  • As a supervisor, settle disputes and provide solutions for the cleaning crew's issues.
  • The duties and responsibilities as set out above are not exhaustive, and the role holder may be required to carry out additional duties within the reasonableness of her or his level of skills and experience.
  • Act as a senior administrative officer backup when required.
  • Any other tasks assigned by the line manager.

Job Requirements:

 

  • Level of Education – bachelor’s degree in relevant field
  • Minimum of 5 years in a similar role preferably within the NGO sector
  • Excellent planning and organizational skills, with proven administrative skills
  • Ability to always manage people with different attitudes.
  • Ability to manage competing priorities effectively in a constantly changing environment, meet deadlines and work calmly under pressure.
  • Strong coordination and time management skills
  • Sound knowledge of office practices, procedures and administrative systems including filing systems
  • Excellent interpersonal and communication skills
  • Strong teamwork skills with the ability to both support colleagues and request support as and when required.
  • Strong written and verbal communication skills, fluent in English and any of the local languages
  • Ability to draft well-written, professionally presented documents.
