Job Descriptions:

Assisting with day-to-day operations of the HR functions and duties

Providing clerical and administrative support to Human Resources executives

Compiling and updating employee records (hard and soft copies)

Process documentation and prepare reports relating to personnel activities (staffing, recruitment)

Deal with employee requests regarding HR issues, rules, and regulations

Conduct initial orientation to newly hired employees

Ensure smooth communication with employees and timely resolution to their queries

Collecting staff monthly timesheet

Checking the staff attendance book

Follow up with personal leave records and updating

Preparing the attendance report on monthly basis

Updating staff lists regularly

Any other HR tasks assigned by the HR Officer of Paktia and Kabul HR.

Admin Duties & Responsibilities:

Follow up the daily task in the office

Develop and maintain a filing system

Coordination and collaboration with program staff and providing facilities

Coordination with finance to avoid mistakes

Organize and maintain computerized records

Supervise and control the loading and unloading of materials

Supervise and control the guards, cleaner, drivers, and cooks

Maintaining registration book for incoming/outgoing mail

Prepare and translate contracts, letters, and other official documents

Make duties scheduled for Hostel Staff House and office guards

Supervise the kitchen and cook daily and ensure health and hygiene standards

Control the photocopy machine and report to the line manager the usage of the copy machine

Check and maintain administration records and filling system regularly

Supervise drivers and vehicles and ensure the good maintenance of all vehicles

Perform weekly audit of vehicles status, mechanical reliability, and safety features

Supervise and check store records and items issued and received

Any other official task assigned by the supervisor

Job Requirements:

Language requirements, if any:

 Dari -Excellent

English- Very Good

 

Qualifications Required:

Diploma degree required (minimum). Candidates with relevant bachelor’s degrees will be favorably considered.

 

Work Experience:

3-4 years’ experience in working with HR

HR experience from development and/or humanitarian organizations is an advantage

Advanced skills in writing (Dari/ Pashtu and English)

Sensitive to religious, cultural, and gender issues in the Afghan context

Familiar with computer programs (MS word, MS Excel, MS Power pint)

Strong knowledge of translating from of Pashto to English, Dari to Pashto vice versa.
