Job Descriptions:

The General Admin Manager is responsible for overseeing and coordinating the administrative functions of the company with 50 branches. This role involves managing office operations, supervising administrative staff, ensuring compliance with company policies, and supporting the overall efficiency and effectiveness of the organization. The manager will also manage branch rents, taxes, facilities, and maintain a comprehensive list of assets.

Key Responsibilities:

  1. Operational Management:
    • Oversee daily administrative operations across all branches.
    • Implement and manage efficient office systems and procedures.
    • Ensure that each branch adheres to company policies and procedures.
  2. Staff Supervision:
    • Manage and supervise a team of administrative staff at the headquarters and coordinate with provincial supervisors.
    • Conduct performance reviews, provide training, and facilitate professional development for administrative personnel.
  3. Communication and Coordination:
    • Serve as the primary point of contact for provincial supervisors regarding administrative matters.
    • Facilitate communication between head office and branches to ensure alignment and consistency.
  4. Budgeting and Financial Management:
    • Assist in the preparation and management of the administrative budget.
    • Monitor expenses and implement cost-saving measures where possible.
    • Manage branch rents, ensuring timely payments and negotiating lease agreements.
    • Oversee the payment of taxes and ensure compliance with local regulations.
  5. Facilities Management:
    • Oversee the maintenance and management of office facilities, ensuring a safe and productive work environment.
    • Coordinate with external vendors for office supplies, equipment, and services.
    • Ensure all facilities are in compliance with health and safety regulations.
  6. Asset Management:
    • Maintain a comprehensive list of assets across all branches.
    • Conduct regular audits to ensure asset integrity and proper utilization.
    • Implement asset management policies and procedures to track and manage company assets.
  7. Compliance and Risk Management:
    • Ensure compliance with local regulations across all branches.
    • Develop and implement risk management strategies to mitigate potential administrative issues.
  8. Project Management:
    • Lead and manage special projects related to administrative functions and office operations.
    • Coordinate with various departments to support organizational initiatives and goals.
  9. Reporting and Analysis:
    • Prepare regular reports on administrative activities, expenses, and performance metrics.
    • Analyze data to identify trends and areas for improvement.
    • The Admin Manager will report directly to Director Operations
  10. Customer Service:
    • Address and resolve administrative issues and inquiries from staff and external stakeholders.
    • Ensure high levels of customer service and support are maintained across all branches.

 

 

Job Requirements:

  • Education: Bachelor’s degree in Business Administration, Management, or a related field. Master’s degree is a plus.
  • Experience: Minimum of 3-5 years of experience in administrative management, preferably in a multi-branch organization.
  • Skills:
    • Strong leadership and management abilities.
    • Excellent communication and interpersonal skills.
    • Proficiency in office management software and tools.
    • Strong organizational and problem-solving skills.
    • Ability to multitask and manage multiple priorities.
    • Experience in managing real estate leases and facilities.
