Job Descriptions:

 

The Provincial Project Coordinator is responsible for coordinating and overseeing the effective implementation of project activities at the provincial level. This includes ensuring the integration and implication of various components such as livelihood, protection, psychosocial support services, legal counseling, health, prevention and response, and awareness initiatives within the province.

 

Key Responsibilities

Project Management:

  • Coordinate the implementation of project activities at the provincial level in line with the project plan.
  • Ensure that project objectives and outcomes are met within the specified time frame and budget.
  • Supervise and support provincial project staff to ensure effective execution of their duties.
  • Conduct regular field visits to monitor progress and provide technical support to field teams.

Result-Based Monitoring and Implementation:

  • Implement the monitoring and evaluation plan at the provincial level.
  • Collect and analyze data to assess project progress and impact.
  • Use data to inform project adjustments and improvements.
  • Prepare and submit regular monitoring reports to the Regional Project Manager.

Knowledge and Lesson Learning Management:

  • Document and disseminate best practices and lessons learned from the project.
  • Facilitate knowledge-sharing sessions among provincial project staff.
  • Encourage a culture of continuous learning and improvement within the provincial team.

Budget Management:

  • Manage the provincial project budget, ensuring proper allocation and utilization of resources.
  • Monitor expenditures against budget and ensure compliance with financial policies and procedures at provincial level.
  • Provide regular financial reports of province to the Regional Project Manager.

Stakeholder Engagement/Sectorial Government Directorates:

  • Build and maintain strong relationships with provincial stakeholders including government authorities, local NGOs, community leaders, and beneficiaries.
  • Facilitate stakeholder meetings to ensure active participation and collaboration.
  • Engage with sectorial government directorates to ensure alignment and support for project activities.

Risk Management:

  • Identify and assess potential risks to the project at the provincial level and assist the regional manager in mitigating risks.
  • Monitor and manage risks throughout the project lifecycle at provincial level.

Gender Mainstreaming:

  • Promote gender equality and women’s empowerment in project activities at provincial level.
  • Monitor and report on gender-specific outcomes and impacts.

Coordination at Provincial and Sectorial Level:

  • Coordinate with other projects and programs in the province to ensure synergies and avoid duplication.
  • Participate in relevant networks and forums to share project experiences and learn from others.

Capacity Building:

  • Identify capacity-building needs of provincial project staff and partners.
  • Develop and implement capacity-building plans and activities.
  • Monitor the effectiveness of capacity-building initiatives and adjust as needed.

Reporting

  • Prepare and submit monthly, quarterly, and annual progress reports to the Regional Project Manager.
  • Ensure that reports are accurate, comprehensive, and submitted on time.
  • Document and share best practices and lessons learned from the province.

Job Requirements:

  • Bachelor’s degree in social sciences, development studies, or a related field (advanced degree preferred).
  • At least 5 years of experience in coordinating projects in humanitarian and development settings.
  • Proven experience in project coordination, including planning, implementation, monitoring, and reporting.
  • Strong financial management skills with experience in budget planning and monitoring.
  • Excellent stakeholder engagement and communication skills.
  • Ability to work in a challenging and dynamic environment.
  • Strong leadership and team management skills.
  • Excellent problem-solving and decision-making abilities.
